Responsible for coordinating activities and resources in support of technical projects that impact multiple departments, systems, or workflows with moderate to high risk and complexity or multiple projects simultaneously with lesser risk and complexity. Reports to project manager and project executive.
Key Duties / Responsibilities of Project Coordinator
Responsible for planning, implementing and evaluating the smooth organization and successful execution of assigned projects
Participates in team meetings
Coordinates meetings, travel arrangements, and expense reports
Supervises contracted vendors to optimize the execution of their services; keeps track of contractual obligations vendors in a timely manner
Maintains electronic filing system
Prepares and / or edits meeting minutes and presentations
Maintains updated insurance certificates from subcontractors
Reviewing & Submitting weekly certified payrolls to contracting officer
Files all project documents (hard and soft copies)
Checks mail daily
Creates work orders, contracts, purchase orders (POs), and change orders for subcontractors in Timberline
Submits invoices to owner. Tracks invoices submitted to owner and invoices submitted to E-Corp by vendors / subcontractors
Submits release of claims to owner when projects are complete
Finalizes and prepares project closeout documentation
Tracks transmittal documents, serialized letters (including e-mail), certified payrolls for subcontractors, requests for proposals (RFPs), and requests for information (RFIs)
Organizes submittal processing, project schedule, safety plan, quality control plan, schedule of values, etc. and closeout documentation (warranties, operation and maintenance manuals, as-built drawings)
Submits required documentation (subcontractor agreements, certificates of insurance, W-9s, affirmative action documents) to Accounting for recording in accounting software
Education / Experience
High school diploma or equivalent
2 years of relevant experience
Experience working on federal projects
Must be able to type 65 words per minute (WPM)
Knowledge, Skills, and Abilities Requirements
Proficient in Microsoft Excel, Word, and Outlook and Adobe Acrobat
Experience with Sage Timberline or other accounting information system is a plus but not required
Strong understanding of basic accounting concepts and theories
Understanding of cost accounting principles
Attention to detail
Communication skills
