Production Coordinator

Trove Brands is seeking a full-time Production Coordinator to join our in-house creative team. This role will play a key part in supporting the planning, logistics, and execution of commercial shoots and photoshoots for our brands.We’re seeking a resourceful, detail-oriented problem solver who excels in a fast-paced production environment. The ideal candidate has strong organizational skills, enjoys collaborating across teams, and can adapt quickly to the challenges of live production.This is an in-office position based in Lehi, Utah.Support Producers throughout all phases of pre-production, production, and post-production.Understand commercial production workflows and on-set processes.Assist with building production templates, call sheets, and production books.Provide updates on priorities, schedule status, and crew confirmations.Serve as a proxy for Producers in meetings and communications when needed.Anticipate and communicate production issues, offering proactive solutions.Source, vet, and book freelance cast and crew; maintain crew portfolios, role assignments, and rate documentation.Manage confirmation emails, scheduling, and day-to-day communication with crew and talent.Secure equipment rentals, vehicles, production supplies, and permits as needed.Book travel and accommodations for talent and crew when required.Build and maintain strong relationships with freelance talent, agencies, and vendors to foster a collaborative environment.Assist with location research and provide options to Producers.Assist with production budgets, vendor quotes, and negotiations.Approve and process invoices, timecards, and expenses for freelance crew, talent, and vendors.Draft and manage NDAs, crew deal memos, contracts, and certificates of insurance (COIs).Document and maintain Standard Operating Procedures (SOPs) for production processes.Identify inefficiencies in workflows and propose solutions to enhance operational efficiency.Ensure productions are executed on schedule, within budget, and at the highest creative standard.Support Producers, Art Directors, and Post-Production in ensuring smooth project delivery.Maintain an organized archive of production files and records. to ensure accurate and timely access to information
