The Executive Assistant is a strategic partner to both the CHRO and CPO, providing comprehensive administrative and operational support to enable their focus on strategic priorities. This role manages complex schedules, drives efficiency in day-to-day operations, and ensures seamless communication across their teams and with key stakeholders. The EA plays a critical role in helping both Executives stay organized, well-prepared, and connected to what matters most. Working across time zones, the EA is expected to operate with professionalism, discretion, and strong judgment You’ll be trusted with confidential and sensitive information and expected to exercise the highest level of discretion.  Key ResponsibilitiesCore ResponsibilitiesProactively manage calendars, meetings, travel arrangements, and inbox flow to optimise time and focus for both the CHRO and CPO. Prepare, format, and review key documents including briefing notes, presentations, reports, and follow-up communications. Anticipate and resolve scheduling conflicts, meeting preparation needs, and information gaps before they arise. Ensure confidentiality and accuracy in all correspondence, documentation, and record keeping.Strategic & operational supportTrack and manage action items, decisions, and deliverables related to strategic initiatives, leadership priorities, and cross-functional programs. Provide support in aligning operational activities to organisational goals, including preparing materials for exec meetings, town halls, and key communications. Coordinate and follow through on cascading communications or outcomes from Communications, Executive, and Leadership meetings, acting as a central point of continuity. Support the CHRO and CPO in time and priority management. Department rhythm, culture & Nearmap values Support planning and coordination of leadership team meetings, offsites, and engagement events. Monitor and help maintain team rhythms, including OKR tracking, quarterly planning, and department-wide communications. Play a key role in fostering team culture and engagement, surfacing insights and feedback where relevant. Proactively embody and champion Nearmap’s values Own It, Work It, Tell It, Love It, Risk It Demonstrate a collaborative mindset, recognising that Nearmap operates as a unified global team. Program ManagementAssist in coordinating department-wide initiatives or programs, ensuring milestones, owners, and timelines are clearly defined and tracked. Provide administrative or logistical support to ad hoc projects such as team offsites, learning and development events, or product/people experience initiatives. Work with key leads across People & Culture and Product to collect inputs, align stakeholders, and deliver executive readiness across initiatives. Maintain oversight of recurring project cycles (e.g. performance cycles, product reviews) and ensure timely preparation and coordination
