This position reports to the Assistant General Counsel, EHS&S and Manufacturing. Chevron Phillips Chemical’s L&PA department numbers over 70 professionals, including direct and indirect reporting relationships covering global operations.The Administrative Assistant supports various lawyers across L&PA and numerous subject areas, including environmental, procurement, litigation, and labor and employment. The ideal individual will have the ability to exercise good judgment in a variety of situations by having excellent written and verbal communication skills, along with administrative/organizational skills. The Administrative Assistant must be able to work under pressure at times and handle a wide variety of activities while maintaining a realistic balance among multiple priorities. The candidate must be able to handle confidential and time sensitive matters with discretion.This position is eligible for our hybrid work schedule.Responsibilities

Complete a broad variety of organizational support for L&PA lawyers in an effective and efficient manner; including, but not limited to, developing and preparing presentations and reports, conducting research, and performing other departmental and/or cross-functional assignments as delegated.

Maintain calendars, plans, and schedules for multiple L&PA lawyers and coordinate meetings that require complex scheduling at multiple locations with various stakeholders, including logistics, necessary equipment, catering, etc.

Assist with meeting agendas, format presentation materials, proo documents, and prepare reports.

Manage daily operation of office space, including onboarding of new hires, workspace assignment, ordering necessary supplies, resolving any issues, and ensuring full participation enterprise meetings by team members.

Collate information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics for L&PA lawyer use.

Assist with coordinating training sessions, town hall meetings, team building events and other special events.

Manages domestic and international travel arrangements, including visa requests, and proactively coordinates the pre-planning of trips by arranging appropriate travel accommodations, managing agendas, providing necessary contacts, and other necessary preparations.

Prepares expense reports, reconciles credit card statements, and processes invoices as necessary.

Perform research on various matters including but not limited to new or revised laws, regulations, policies, interpretations, and/or regulatory agency guidance; permits/permit applications, and cases/legal opinions.

Requires high school diploma or GED equivalent.

Minimum of 5 years related experience supporting a mid-level leader or higher

Minimum of 2 years experience in a legal department or law firm

Proficient in MS Office programs (Outlook, Teams, Word, Excel, Visio, PowerPoint, SharePointe and OneNote) as well as familiarity with other standard industry applications such as Concur.

Exceptional interpersonal skills and the demonstrated ability to build relationships and effectively communicate and collaborate across organizational boundaries at all levels.

Highly organized and detail-oriented, with the ability to manage multiple tasks or projects simultaneously.

Strong ethics and integrity, with a commitment to maintaining confidentiality and professionalism.

Strong analytical and problem-solving skills, with a proactive and solution-oriented mindset.

Preferred Qualifications

Associates degree (or higher)

Administrative Professional Certification such as CAP, EAC or CPAA

Prior administrative experience with legal practice management and billing systems or similar software platforms

Prior research experience, including but not limited to on-line research as well as paper documents.
