Administrative Assistant – San Antonio

The Administrative Assistant will be responsible for providing comprehensive administrative and organizational support to ensure smooth operations within the office. The ideal candidate is highly organized, flexible, and capable of managing various administrative tasks effectively. The role involves coordination with staff, donors, community agencies, and synagogues. This position offers a collaborative environment with varied responsibilities, perfect for a motivated individual seeking an engaging administrative role. Schedule: Full-time. Pay rate: $18.00/hour.

Primary Responsibilities:

Greet and assist visitors, ensuring a welcoming atmosphere.

Answer and manage incoming phone calls professionally.

Schedule and maintain calendars for various office activities.

Collect, sort, and distribute incoming mail.

Assist in preparing mailings to donors and constituents, including tributes and birthday cards.

Provide general daily support to staff as needed, including supplies management.

Assist in distributing mass mailings and preparing event materials.

Support the planning and execution of events and programs.

Manage staff meeting schedules and agendas.

Facilitate activities promoting a positive work culture, including staff celebrations and recognition.

Conduct research for returned mail and incorrect contact details.

Update and manage constituent information in the CRM system.

Format, print, and mail donor acknowledgements.

Track and record donor attendance for development and campaign events, ensuring accurate documentation in the CRM.

Minimum Requirements:

Strong verbal and written communication skills.

Exceptional organizational skills with great attention to detail.

Proficiency in Microsoft Office365 (Outlook, Word, Excel, PowerPoint, SharePoint).

Familiarity with donor databases, with preference for experience in Blackbaud.

High level of technological proficiency.

Professional appearance suited for a donor and business environment.

Ability to adapt to changing priorities and manage multiple tasks effectively.

Demonstrates servant leadership and team-oriented attitude.
