Description: Assists with and relieves Department and other personnel of administrative and clerical work by providing administrative support.

Prepares assignments in a timely, efficient and accurate manner for all department personnel.

Creates and maintains files in Legal’s preferred document retention system.

Maintains office supplies and coordinates with service providers, where applicable, to ensure hardware (copies) and software are functioning correctly.

Compiles data for routine reports from a variety of sources, including SAP, etc.

Answers telephones, takes messages, routes calls appropriately and resolves routine inquiries.

Schedules and maintains calendar of appointments and coordinates travel arrangements for department personnel.

Collects expense data and files expense reports for departmental personnel.

Assists with coordinating meeting events.

Receives and directs visitors.

Processes all incoming and outgoing mail, including legal documents.

Processes invoices and requisitions, reconciles time cards, monitors and reconciles controllable expenses, assists in the preparation of annual budgets and handles other administrative functions.

Generates and distributes reports concerning/affecting the activities of the functional area on a scheduled or unscheduled basis, including the preparation of departmental presentations.

Maintains confidential records.

Interfaces with employees and outside counsel to aid in the provision of Legal services, including coordinating with employees to pick up or sign documents.

This position is salaried nonexempt status, which means you are eligible for overtime pay.Qualifications:

High School diploma or GED required.

5 years of secretarial experience required.

Legal experience is preferred.

Texas notary public is preferred.

Able and willing to work on-site, in-person at the Valero San Antonio location, required.All successful candidates must be eligible to obtain a TWIC card (Transportation Worker Identification Credential).
