Job Summary: The purpose of this position is to assist the retail brokerage team by ensuring the team’s success through keeping things organized, managing the day-to-day workloads, creating and updating marketing materials. The position will also act as the executive assistant to the lead broker, as well as being the liaison between the corporate offices in San Antonio and Dallas.
Broker Administrative:
Prepare, organize, and assemble all client tour books.
Assist with placing orders for aerials/maps.
Prepare & organize presentations and/or meeting materials and pitches.
Pull demographic information from databases and organize presentation form.
Coordinate and book all work related travel & prepare reimbursement requests.
Office Administrative:
Tend to all front desk & reception duties
Keep conference room meeting schedule.
Order all office supplies/ snacks and maintain the monthly inventory list.
Check and distribute mail.
Coordinate Fed-Ex shipments.
Keep office organized and in good working order.
Assist in planning all company lunches, happy hours, and special events.
Coordinate with Property Manager for maintenance issues and access card orders.
Design & Marketing:
Design all property leasing flyers.
Update and Manage all property site plans.
Design and order leasing signs for team
Update and add properties and tenants on SHOP website.
Assist with creating and editing aerials when necessary.
Experience Requirements:
Office Management or Executive Assistant
Microsoft Office Suite
Adobe Creative Cloud (Photoshop & InDesign) preferred
