The primary purpose of this position is to support the San Antonio Uniformed Services Health Education Consortium Psychiatry Residency/Fellowship Program by performing clerical and technical work to analyze, evaluate, complete, and improve processes for compliance with graduate medical education standards promulgated by accrediting bodies and the Department of Defense.ResponsibilitiesMaintains residency/fellowship program data and documents, conducts program data review and analyses, and prepares reports and recommendations.Performs other clerical and administrative work in support of the residency/fellowship.Prepares a wide variety of Residency/Fellowship Program recurring and some nonrecurring correspondence and other documents; reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts.Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives.Receives program telephone calls, greets visitors, and ascertains the nature of the calls or visits; coordinates meeting arrangements, and schedules meetings and/or conferences.RequirementsConditions of EmploymentQualificationsIn order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions for GS-0303-07 Series. SPECIALIZED EXPERIENCE: One year of specialized experience for GS-0303-07 level positions which includes the knowledge of clerical, assistant or technician to execute procedures and techniques involving in carrying out the work of healthcare organization. This definition of specialized experience is typical of work performed at the GS-06 grade/level position or equivalent in the federal service. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in­-grade requirements to be considered eligible. One year at the GS-06 level is required to meet the time-in-grade requirements for the GS-07 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of extensive technical rules, procedures, and operations; a practical knowledge applied to the graduate medical education (GME) Psychiatry Residency/Fellowship Program purposes and methods; knowledge of the basic objectives and policies governing the residency program to gather and maintain program data; recognize trends; prepare reports on program operations; and recommend corrective action and/ or improvement. 2. Knowledge of the administrative and clerical work to answer written and telephone inquiries; maintain supervisor's calendar, prepare and review correspondence; prepare travel arrangements; and requisition clerical and provider supplies. 3. Knowledge of correct grammar, spelling, punctuations, capitalization, and format to accurately prepare and edit written correspondence and reports. 4. Knowledge of various office automation software programs, tools, and techniques to support program operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs. Detailed knowledge of the gift and proffer documentation and approval processes. 5. Skill in writing and preparing clear concise reports describing the data collected and trends, conditions of program operations and recommended improvements. 6. Ability to locate, assemble, and compose information for routine reports, inquiries, and nontechnical correspondence ability to communicate effectively, both orally and in writing ability to plan, organize work, and meet deadlines; a qualified typist is required. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social).
