Position Summary:
The Dispatcher serves as the first point of contact for all incoming calls and is responsible for providing timely and effective assistance to all callers. This role requires a high level of organization, responsibility, punctuality, strong phone etiquette, and attention to detail.
The ideal candidate excels in customer service, possesses strong communication and interpersonal skills, and demonstrates a professional phone demeanor. Proficiency in Microsoft Office Suite is required, along with a willingness to learn new systems and support team members. The ability to multi-task in a fast-paced environment and aid managers and supervisors as needed is essential
Essential Job Responsibilities:
. Answer incoming calls, transfer to appropriate departments, and regularly check and respond to voicemail messages.
. Monitor the office email inbox and respond promptly and professionally.
. Receive irrigation repair requests via phone and email.
. Schedule services using dispatch software and process invoices using QuickBooks
. Track and schedule all irrigation repairs, including backflow inspections and other related department responsibilities.
. Assist other departments with coordinating their need for irrigation repairs
. Dispatch and monitor irrigation technician schedule on a daily basis.
. Provide support to the accounting department as needed.
. Other administrative tasks may be assigned
Required Qualifications:
Education: High school or equivalent (Required)
Dispatching: 1 year (Required)
Multi-line phone systems: 1 year (Required)
Data entry: 1 year (Required)
Language: English and Spanish (Required)
10-key touch experience (Required)
Type at minimum 40wpm (Required)
At least 2 years experience in a similar role (Required)
Preferred Qualifications:
. Excellent organizational skills and time management skills
. Able to use outlook calendar for scheduling
. Experience with Microsoft Word, and Excel Programs
. Exceptional customer service skills
. QuickBooks experience (preferred but not required)
. Ability to operate office equipment (scanner, printer)
. Ability to operate a multi line phone system
. Ability to meet and exceed deadlines
. Ability to communicate effectively and courteously, both verbally and in writing
. Ability to maintain confidentiality at all times
