Job Overview
We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be primarily responsible for creating and distributing weekly timesheets and schedules. This role includes entering and balancing daily deposits, processing vendor invoices, and maintaining accurate financial records. Additional duties involve answering incoming phone calls and scheduling sales leads and irrigation appointments.
Duties
. Review, analyze, and update employee attendance, hours worked, and pay adjustments to enter data into time and attendance software.
. Ensure timely payroll processing and maintain accurate payroll records.
. Print and distribute weekly timesheets and schedules to Department Managers.
. Input weekly crew schedules into Exak-Time Software.
. Maintain confidentiality and protect sensitive payroll and employee information.
. Utilize financial software such as QuickBooks to manage financial records and customer contracts.
. Maintain confidentiality and protect sensitive payroll and employee information.
.Collect and record customer deposits and vendor invoices in QuickBooks.
. Collaborate with team members to reconcile invoices with customer payments.
. Communicate with external contacts to address billing questions and resolve discrepancies.
. Contribute to team success by supporting related tasks and departmental goals as needed.
. Assist with managing multiple phone lines, by answering and routing calls to appropriate departments.
. Provide basic technical support for computers, iPhone, and iPad used by staff
. Coordinate all office supply ordering.
. Interact with administrative and operational teams to support daily functions.
. Great and direct walk-in customers, vendors, and job applicants in a professional manner.
. Participate in meetings and training sessions as required
Required Qualifications
. High school diploma or equivalent.
. 1–2 years of administrative and/or basic accounting experience.
. Bilingual in English and Spanish.
. Minimum typing speed of 40 WPM.
. Strong verbal and written communication skills with a courteous and professional demeanor.
. Ability to operate multi- line phone system
. Skilled in using a 10-key calculator.
Preferred Qualifications
. Proficiency in accounting software such as QuickBooks
. Strong understanding of financial concepts including accounts receivable, accounts payable, debits, credits, and double-entry bookkeeping.
. Experience with timesheets, attendance systems, and operations scheduling.
. Strong judgment and decision-making skills; ability to evaluate information and act appropriately.
. Proficient with Microsoft Word, Outlook, and Excel.
. Capable of operating standard office equipment including computers, printers, and copiers.
. Ability to meet deadlines and manage time effectively.
. Highly organized with excellent attention to detail.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
Expected hours: No less than 40 per week
