Department Operations· Maintains and updates confidential office files, databases, reports and department SOPs/manuals as needed.· Functions as department purchaser/procard holder for office supplies, materials, equipment, special orders and ensures supply par levels are maintained.· Maintains appropriate documentation of purchases and performs appropriate account reconciliations including resolving related accounting issues.· Assists in coordinating/evaluating department and institution wide events such as retreats and committee activities.· Coordinates staff professional development activities and ensures compliance for departmental training/certification as required for accreditation, regulatory, and license purposes.Emergency Readiness / Code Blue Support· Manages payroll responsibilities including processing pay vouchers and reconciling time recorded in Kronos to schedule.· Coordinates and processes ePAF requests for personnel actions as appropriate (new positions, backfills, retirement, terminations, etc.)· Responsible for operational activities and cross-functional projects as assigned by the Code Blue Operations and the institutional Emergency Readiness programs.· Facilitates resolution of matters requiring the Emergency Readiness Officer's attention. Assesses inquiries directed to the ERO and determines the proper course of action.· Processes licensing applications and renewals as required. Maintains Continuing Medical Education Credits (CME).· Coordinates multiple assignments/projects simultaneously, responding diplomatically to diverse constituencies, handling sensitive situations and information with discretion, and understanding/solving complex problems.· Prioritizes work appropriately based on importance and deadlines.· Must have the ability to work with minimal supervision in a fast-paced, deadline-driven environment.Administrative Support· Performs as department timekeeper and ensures time off usage is in alignment with institutional guidelines.· Coordinates and prepares travel arrangements and submits appropriate expense reports.· Manages schedules and arranges meetings and provides necessary support as needed including agenda coordination, meeting materials, location arrangement, virtual meeting support, presentation creation/formatting, and meeting notes.· Provides backup support to other areas of the division.· Supports other duties as assigned.Other duties as assignedBachelor's degree in Business Administration or related field. Education preferred: Master's degree. Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
