POSITION OVERVIEWApplications Accepted From: All Persons InterestedPosting Number: 34581Division: Public Health BranchSection: Immunization BureauWorkdays & Hours: MONDAY – FRIDAY, 8:00 AM – 5:00 PM (weekends and holidays as needed) Subject to changeDESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONSThe Houston's Health Department is seeking a talented and committed professional to perform varied professional administrative functions associated with organizing the development and implementation of administrative and supervisory activities.CORE JOB DUTIES FOR ADMINISTRATIVE COORDINATOR

Provide support for the Immunization Quality Improvement for Providers (IQIP), Provider Compliance, Day Care and Schools team

Serve as IQIP Coordinator

Review and perform quality assurance audits

Submit reports in a timely manner

Perform VFC compliance visits

Perform IQIP Visits

Perform daycare/school audits and validations

Facilitate daycare staff in-services

Attend all CDC, DSHS meetings regarding IQIP, Compliance, Daycare and schools

Prepares, edits, and revises department/division correspondence; prepares, edits, and revises procedures manuals.

Staff Management and Development

Develop a deep understanding of the immunization program needs

Establish and maintain strong collaborative relationships through frequent two-way communication with internal and external partners.

Assess staffing needs periodically to ensure coverage of key roles; hire qualified staff to fill gaps.

Ensure staff have resources needed to fulfill their responsibilities and achieve competency, including equipment, training, supervision, mentorship, coaching, and access to standard operating procedures (SOP) for important tasks.

Conduct biweekly meetings with the team to enhance their skills and knowledge of their roles and ensure timely accomplishment of deliverables.

Conduct quarterly one-on-ones with the team.

Oversee the day-to-day operations

May guide, train and evaluate staff.

Reporting and Documentation

Ensure activities and deliverables are reported within the designated timeframe.

Review and sign off on completed compliance visits monthly

Provide data for KPI reporting for the IQIP, Compliance, Daycare, School teams monthly

WORKING CONDITIONS The position is physically comfortable; the individual has discretion about walking, standing, etc.MINIMUM REQUIREMENTSMINIMUM EDUCATIONAL REQUIREMENTS Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.MINIMUM EXPERIENCE REQUIREMENTSFive (5) years of administrative experience are required.Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.MINIMUM LICENSE REQUIREMENTSNonePREFERENCESPreference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
