We are a dynamic construction and property management company dedicated to delivering exceptional service to our clients. We are looking for a reliable and organized Assistant to support our operations and ensure smooth communication and administrative functions.
Job Description
As an Assistant, you will play a crucial role in our team by handling a variety of tasks including but not limited to:
- Sending emails and communicating with clients.
- Updating client addresses and contact files.
- Managing client status and opportunities lists, including nurturing callbacks and noting client interactions.
- Assigning tasks to bids and estimates, and scheduling dates for service providers (ex: HVAC contractors).
- Recruiting employees to fill job positions as needed.
- Tracking payment statuses and following up on partially paid or unpaid invoices.
- Conducting callbacks upon project completion to gather customer surveys and feedback.
- Addressing tenant issues and scheduling maintenance requests.
- Answering incoming calls from tenants and organizing opportunities tabs with collected information.
Qualifications:
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
- Experience with customer service and handling client communications.
- Ability to work independently and manage time effectively.
- Prior experience in construction, property management, or a related field is a plus.
