Front Desk Receptionist Medical Spa - Weekdays (Houston,Tx)

We are looking for a Receptionist to manage our front desk in our medical post-op recovery spa and to perform a variety of administrative and clerical tasks.

Our Receptionist’s duties include:

1) Offer administrative support across the organization.

2) You will welcome guests who visit our office and assist those looking to book post-op massages or inquire about our services, as well as provide phone support when needed.

3) You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role.

You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations.

Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus.

Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Responsibilities

1) Greet and welcome guests as soon as they get to the office

2) Be punctual and ensure timely arrival at the office consistently.

3) Direct guests to the right resources pre and post appointment

4) Provide clients with the necessary information to help them book in-office appointments (Keep updated records of appointment log with daily reconciliation)

5) Handle in-office payments efficiently and accurately

6) Provide basic and accurate information in person and via phone/email

7) Update calendars and schedule meetings

8) Maintain office security by following safety procedures and controlling access as needed

9) Manage/order front office supplies and keep inventory of stock

10) Keeping things tidy, cleaning treatment rooms, and any designated area.

11) Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

12) Manage client complaints and handle difficult situations with professionalism.

Skills

Proven work experience as a Receptionist, Front Office Representative or similar role

Proficiency in Google Office

Microsoft Excel Skills

Hands-on experience with office equipment (e.g. fax machines and printers)

Proficiency in using a laptop and other technology.

Ability to record and manage video content as needed.

Professional attitude and appearance

Solid written and verbal communication skills

Ability to be resourceful and proactive when issues arise

Excellent organizational skills

Multitasking and time-management skills, with the ability to prioritize tasks

Customer service attitude

High school degree; additional certification in Office Management is a plus

Spanish (a plus, but not required).

Job Details:

Schedule: Weekdays (Monday to Friday) with open availability between 8:00 AM – 8:00 PM CST. Please note, the exact daily schedule may vary depending on the first and last appointments of the day.

Pay rate: $1500 / month
