LocationTHE MODERN HOME OF AMERICAN GOLFLocated 30 miles north of downtown Dallas, Omni PGA Frisco Resort is the largest resort currently in development in the country. Opening spring 2023, the resort will feature 500 guest rooms and suites, 10 four-bedroom ranch houses, three pools, including an adults-only rooftop infinity pool, a destination spa, Lounge by Top Golf, and over 127,000-square feet of indoor and outdoor meeting and event space. An expansive retail and entertainment district will feature dining, shopping and an outdoor stage set to be activated for concerts and outdoor programming. The Resort will become a leading destination for golf providing an unparalleled experience for those who are advanced players, new to the game, and everything in between. The resort will offer 46 holes of golf designed by Beau Welling and Gil Hanse, including two 18-hole championship golf courses, a lighted 10-hole short course, and a lighted two-acre putting green. Job DescriptionOmni PGA Frisco Resort is seeking a Private Events Coordinator to join our team. Omni Frisco PGA Resort provides north Texas with 127,000 square feet of event space, 13 new food and beverage outlets, an extravagant spa and a full entertainment district. Featuring two championship 18-hole golf courses along with a third short course, we will provide incredible options for our guests and local community for dining, events, and entertainment . This team member will assist guests in a timely and professional manner with inquiries regarding large party and private events in our outlets. Responsibilities

Respond to all inquiries in a timely manner . Responsible for prompt handling (within one business day) of inquiry calls and monitoring the efficient flow of paperwork relative to confirming function details to the client

Ability to make private and group dining arrangements with the guest, to include the following: Knowledge of all minimums and rental fees, menu items and pricing, room set-up, audio-visual requirements, and billing information.

Proactively sell and service social and corporate catering bookings with a focus on upselling food and beverage. Plan and coordinate all details with each client.

Create and Distribute REO’s , agreements, any last-minute changes, and all pertinent information in a timely manner .

Review each REO in detail with the client .

Adhere to all Catering Department and resort standard operating procedures.

Maximize revenues for the hotel through up-selling techniques

Creates estimate for accounting of expenditures; ensures all deposits are collected according to deposit schedule on the REO

Partner with the culinary team to create menus designed to fit client’s needs and maximize food and beverage revenues.

Prepare and Distribute R EOs according to the distribution schedule, which includes all food and beverage and event requirements to be reviewed with the Outlet Departments and Culinary Departments in daily R EO meeting.

Types and distributes all correspondence, including booking notices, letters, contracts, etc. for assigned managers . Ensures that all correspondence is 100% accurate .

Assures all groups and private dining reservations are entered in OpenTable.

Maintains account files and ensures that all information is included in file , i.e. post-convention reports, letters, fax information, etc.

Work closely with Outlet Manager to get appropriate food and beverage minimums and availability for all private/group dining inquiries.

Work closely with Marketing and Sales to generate new business.

Maintain close client contact with effective communication to ensure guest satisfaction and establish closer working relations with repeat clients.

During events , personally ensure that all planned specifications are followed and correct where necessary.

Stay in contact with the client before the event to get final guarantees and payment method before the function.

Track and report group/private dining sales.

Track repeat business and create an easy method to trace files to encourage repeat business.

Make outside sales calls to increase revenue for private dining rooms .

Create and process purchase orders.

Maintain employee files.

Order supplies as needed.

Performs other duties as assigned by management (assist in department training and paperwork as needed, book private parties and group buy-outs and assist with BEOs).

Perform all the functions of a Host as needed and warmly greet all our guests.

Qualifications

One year of experience in a similar position preferred.

Prior administrative experience required .

Must be TABC certified.

Maintain a professional business appearance, attitude, and performance.

Must be able to work a flexible schedule including weekends and holidays.

Move, bend, lift, carry, push, pull, and place objects weighing up to 40 pounds without assistance .

Stand or walk for an extended period or for an entire work shift .

Requires repetitive motion of arms and hands.

May work both indoors and outdoors.
