Position Information Posting Number 20113012 Position Title Graduation Manager FTE 1.0 Position Type Staff Department Registrar Position Summary Information Job Summary/Basic Function About This Role:The Supervisor of Graduation oversees and maintains all graduation functions and duties for Lamar University. They will also supervise the Graduation Coordinator and Student Records Specialists in the graduation area.What You’ll Do – Position Responsibilities:
Oversees graduation processing, including graduation applications, degree clearance and certification, associated workflow processes, commencement, diploma production and distribution for Lamar University.
Responsible for graduation controls for LU.
Manually reviews audits to ensure degree clearance and certification for LU.
Manually sets student up to apply for graduation.
Verify final grades and GPA before awarding degrees.
Award degrees using batch process in Banner for LU Graduate.
Print and mail diplomas.
Update student records, as requested.
Provide reports, as requested.
Coordinate Graduation Fair with Undergraduate Coordinator and Assistant Registrar
Secure vendors and departments to participate.
Obtain door prizes and snacks to hand out.
Pass out flyers.
Send out correspondence to students to attend.
Secure venue, mascots, volunteers.
Assist in the coordination of the commencement ceremonies with Undergraduate Coordinator and Assistant Registrar.
Facilitate and maintain inventory of diploma stock, tubes, envelopes, labels, and honor cords.
Ensure accuracy of information in the commencement program, on undergraduate diplomas, and for graduation-related information in Banner.
Develops mass correspondence to graduating students and ensures communication reaches graduates.
Assist in the preparation of walking list, walking cards, maps, work assignments. · Attends Commencement Committee meetings as needed.
Assist in the supervision of workers during Commencement Ceremonies.
DegreeWorks:
Scribe to LU degree audit system.
Assists in training faculty and staff in DegreeWorks best practices and procedures for LU.
Oversee the supervision of assigned personnel.
Work allocation.
Employee training.
Problem resolution.
Manage departmental graduation email boxes (UG, GR).
Assist Assistant Registrar with developing, maintaining, and updating policies, procedures, processes, and job duties.
Coordinate with Assistant Registrar and Administrative Assistant on ordering supplies for graduation.
Knowledge, Skills and Abilities:
Comply with and adhere to Family Educational Rights and Privacy Act when dealing with public and university community.
Knowledge of student information systems and degree audit systems, preferably Banner and Degree Works
Understands the complexity of online audit coding.
Knowledge of trends, issues, and accepted practices relevant to the position.
Excellent communication, interpersonal, and organizational skills.
Strong logical and analytical problem-solving skills; critical thinking skills with attention to details.
Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies.
Strong organizational, time management and project planning skills.

Must be approachable and highly customer service oriented; must be detail-oriented, but also able to strategically conceive and coordinate long-term projects and events planned over a long period of time.
Additional Duties:
Serves on various committees as assigned.
Attends meetings, seminars, and conferences on behalf of Records department.
Work occasional evenings and Saturday for Commencement.

Bachelor’s degree required.
Minimum three years’ experience of progressively responsible experience in student records and registration in a higher education setting.
Computer experience including data entry and use of Microsoft Office Suite (Outlook and Excel) is required.
Excellent organizational, communication, time management and interpersonal skills are a must.
