Position Title: Executive Personal Assistant to the CEO

Job Summary: We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to our CEO in both domestic and business capacities. The successful candidate will manage a wide range of tasks, emphasizing efficiency, discretion, and proactive problem-solving. This full-time position demands strong technical skills, adaptability, and the ability to juggle various projects and schedules.

Key Responsibilities:

Administrative and Business Management:

Organize and prioritize incoming communications, flagging urgent matters.

Maintain filing systems and oversee accounts payable and bill payments.

Manage household inventory, including ordering and restocking supplies.

Coordinate meal planning and arrange for preparation assistance as needed.

Handle package deliveries, returns, and special projects.

Purchase and arrange the delivery of gifts for special occasions.

Maintain and update household manuals and documentation.

Maintain filing systems, oversee accounts payable, and manage bill payments.

Manage project timelines, ensuring deliverables are met and communicated.

Liaise with vendors, contractors, and stakeholders to ensure smooth operations and project execution.

Required Skills and Qualifications:

Experience: Minimum of 5 years as an Executive Assistant or in a similar role, preferably in a multi-staffed environment.

Technical Proficiency: Proficient in Notion, Google Workspace, and capable of troubleshooting devices (PCs, network devices, mobile devices).

Organizational Skills: Exceptional ability to manage multiple tasks and projects with high attention to detail and accuracy.

Communication: Excellent verbal and written skills for effective interaction with family members, staff, and external contacts.

Discretion: High level of confidentiality when handling sensitive information.

Adaptability: Thrive in a fast-paced, dynamic environment with shifting priorities.

Preferred Attributes:

Proactive: Anticipate needs and address them proactively to ensure seamless operations.

Organized: Seeking a “Type A” individual who excels in organization and documentation.

Resilience: Strong ability to prioritize tasks and maintain focus under pressure.

Working Conditions:

Work Environment: A blend of administrative support, household management, and occasional project oversight.

Physical Demands: Ability to lift up to 50 pounds and perform tasks involving bending, reaching, standing, or walking for extended periods.

Travel: Occasional travel may be required, including short-notice trips. A valid driver’s license and proof of insurance are necessary.

Background Check: A background check, including criminal history and credit check, is required due to the handling of sensitive information and financial matters.

Job Type: Full-time

Salary: $75,000 - $100,000 (based on experience)
