Office Manager (Must be Tech Savvy)

Job Summary: We are seeking a highly organized and proactive Office Manager to join our team. The ideal candidate will be responsible for managing a range of administrative duties to support the office’s daily operations. This individual will play a key role in ensuring the smooth functioning of the office, handling various tasks including contract management, expense tracking, event coordination, social media updates, and much more. As the front-facing representative of the company, the Office Manager will liaise directly with IT services, interact with clients and visitors, and support our marketing efforts through photography and website updates.

Key Responsibilities:

Contract Tracking and Filing:

Maintain and organize contract documentation and ensure all records are up to date.

Track contract statuses, renewals, and necessary follow-ups.

Expense Reports:

Process, review, and manage expense reports, ensuring compliance with company policies.

Assist in budget tracking and expense forecasting.

Scheduling and Meeting Coordination:

Coordinate and schedule meetings for team members and clients.

Manage calendar invites, meeting spaces, and other logistics as necessary.

Event Planning:

Organize and coordinate company events, from meetings and workshops to corporate social gatherings.

Handle all logistical aspects, including venue selection, catering, and communication.

Social Media and Website Management:

Maintain and update social media profiles with relevant content, staying aligned with company branding.

Update the company website as needed, ensuring information is current and reflective of the company’s offerings.

Photography of Sites and Marketing:

Capture high-quality photos of company projects and sites for use in marketing materials.

Collaborate with the marketing team to develop visually compelling presentations.

Presentation Document Creation:

Design and prepare company presentation materials, proposals, and other documents for client meetings and marketing needs.

Office Operations and Issue Resolution:

Address day-to-day office issues, such as supplies and maintenance needs.

Serve as the primary contact for IT issues, coordinating with technical support to resolve problems.

Client Interaction:

Act as the first point of contact for visitors, providing a professional and welcoming experience.

Manage incoming communications, including calls, emails, and walk-ins.

Research Support:

Conduct research as needed to support projects, marketing initiatives, and business development efforts.

Qualifications:

Bachelor’s degree in Business Administration, Communications, or related field preferred.

Proven experience in office management or administrative support; social media management.

Strong organizational skills and attention to detail.

Proficiency in MS Office Suite and experience with social media platforms.

Excellent communication and interpersonal skills.

Ability to work independently and prioritize tasks in a fast-paced environment.

Photography and basic website management experience are a plus.
