Overview:

We are seeking a skilled and efficient Executive Assistant/Administrative Support professional to join our team. The ideal candidate will be organized, detail-oriented, and capable of managing a variety of tasks efficiently. This role will involve handling daily administrative duties, managing schedules, overseeing product ordering, and providing excellent customer service. Proficiency in QuickBooks and Square software is essential for this position.

Responsibilities:

1. Daily Administrative Tasks:

- Utilize QuickBooks and Square software proficiently to handle daily administrative tasks.

- Maintain accurate records and data entry to ensure smooth operations.

2. Scheduling & Time Management:

- Manage calendars, appointments, and meetings for executives and team members.

- Coordinate travel arrangements and accommodations as needed.

3. Product Ordering:

- Oversee the procurement process for necessary products and supplies.

- Coordinate with vendors, track orders, and ensure timely delivery.

4. Customer Service:

- Respond to customer inquiries promptly and professionally via email and phone.

- Provide updates on order status, address concerns, and ensure customer satisfaction.

- Maintain positive relationships with customers and address any issues with tact and efficiency.

5. Order Due Dates Management:

- Keep all order due dates updated and organized within our software system.

- Communicate effectively with relevant team members to ensure timely completion of orders.

Qualifications:

- Proven experience as an executive assistant, administrative assistant, or in a similar role.

- Proficiency in QuickBooks and Square software is required.

- Excellent organizational and time management skills.

- Strong attention to detail and accuracy in data entry.

- Exceptional communication and interpersonal skills.

- Ability to multitask and prioritize tasks effectively in a fast-paced environment.

- Strong problem-solving abilities and a proactive approach to resolving issues.

- Professional demeanor and ability to maintain confidentiality.

- Bachelor's degree in business administration, office management, or a related field is preferred.
