We are seeking a motivated and detail-oriented individual to join our team as an HVAC Customer Service/Dispatch Representative. In this role, you will play a vital role in ensuring our customers receive prompt and efficient service for their heating, ventilation, and air conditioning (HVAC) needs. The ideal candidate will possess strong communication skills, problem-solving abilities, and a commitment to delivering exceptional service to our clients.

Responsibilities:

1. Serve as the primary point of contact for customers contacting our HVAC service department, addressing inquiries, scheduling service appointments, and providing assistance as needed.

2. Gather relevant information from customers regarding their HVAC issues, troubleshooting problems over the phone when possible, and dispatching service technicians to customer locations when necessary.

3. Coordinate and prioritize service calls based on urgency, customer location, and technician availability, ensuring timely response and resolution of issues.

4. Communicate effectively with service technicians, providing them with accurate information about service requests, customer locations, and any special instructions or considerations.

5. Maintain detailed records of customer interactions, service requests, and dispatch activities using our internal database or software systems.

6. Monitor service schedules and technician progress throughout the day, proactively addressing any delays or issues to ensure timely completion of service calls.

7. Collaborate with other departments, including sales, operations, and maintenance, to coordinate resources and provide seamless service to our customers.

8. Handle customer inquiries and concerns with professionalism and empathy, working to resolve issues to the customer's satisfaction and maintain positive relationships.

9. Follow up with customers after service appointments to ensure their satisfaction and address any additional needs or concerns.

10. Adhere to company policies, procedures, and safety standards at all times, promoting a culture of excellence and customer service within the organization.

Requirements:

1. High school diploma or equivalent; additional education or training in HVAC systems or customer service is a plus.

2. Previous experience in customer service, dispatching, or HVAC-related field is preferred.

3. Excellent communication skills, both verbal and written, with the ability to convey technical information clearly and effectively.

4. Strong problem-solving abilities and the capacity to think quickly and make sound decisions in a fast-paced environment.

5. Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.

6. Proficiency in computer systems and software, including experience with HVAC service management software or similar programs.

7. Flexibility to work evenings, weekends, or holidays on a rotating basis, as needed.

8. Knowledge of HVAC systems and terminology is desirable but not required; willingness to learn and adapt to new technologies and processes is essential.

9. Ability to maintain composure and professionalism under pressure, while providing exemplary customer service and support.
