Position Summary: The Student Medical Education Coordinator is responsible for managing and facilitating the medical education experience for students rotating through Covenant Health. This individual serves as the central point of contact for medical students, affiliated academic institutions, precepting physicians, and hospital staff, ensuring that all aspects of the educational program run smoothly and efficiently. Responsibilities include creating rotation schedules, overseeing onboarding and orientation, and maintaining compliance with accreditation standards. The coordinator works closely with academic institutions and directors of student medical education to align the hospital’s training programs with educational requirements, while also addressing the unique needs of medical students as they navigate their clinical training. This role requires a combination of strong organizational skills, excellent communication abilities, and an understanding of medical education processes. In addition to administrative duties, the Student Medical Education Coordinator ensures that medical students have a positive and productive experience by acting as a mentor and advocate. The coordinator anticipates and addresses logistical challenges, provides timely information about hospital policies and procedures, and facilitates access to necessary resources. Develop, organize, and maintain medical student rotation schedules across Covenant Health, ensuring proper coverage and alignment with academic institution requirements.

Maintain schedules for medical student core rotations, ensuring proper placement with hospital and academic requirements throughout Covenant Health.

Schedule elective rotations and special requests in collaboration with academic partners and physician preceptors; coordinates and disseminate schedules, reminders, and updates to students, hospitals, and department leaders.

Organizes and provides comprehensive support to affiliated schools, hospitals, physicians, and medical students related to clinical student rotations; serve as the primary contact for medical students and assist with scheduling; verifies student attendance at rotations; identifies new clinical rotation opportunities.

Collaborate with hospital director of student medical education (DSME) and academic institutions to design and implement educational objectives for rotations including didactics.

Submits quarterly invoices to affiliated schools as needed for preceptor payments.

Assists with the delivery and timely completion of student evaluations; schedules, monitors and ensures compliance at monthly student national board examinations following core rotations.

Provides ongoing evaluation of all aspects of the medical student program; makes recommendations for improvements or modifications as needed for current and/or future programs based on assessments.

Coordinate onboarding for new medical students, including required paperwork, ID badge, IT access, and required training.

Assist in the development and maintenance of orientation and training materials, including handbooks, guides, and online resources.

Lead orientation sessions to introduce students to hospital policies, procedures, resources, and expectations. Serve as primary point of contact for any questions regarding policies and procedures.

Organize welcome events and other program-related celebrations. Manage event logistics, including booking spaces, arranging technology needs, and distributing materials.

Maintain up to date knowledge of accreditation requirements and ensure all programs comply with hospital policies, legal requirements, and regulatory standards.

Prepare reports for accreditation reviews, audits, and program evaluations.

Compile data related to program outcomes, student performance, and feedback for reporting to hospital leadership and academic partners.

Exhibits excellent interpersonal and human resources management skills and maintains excellent relationships with physicians, students and other health care and educational professionals and members of leadership.

Must possess high level oral and written communication skills.

Manages office operations to meet personnel, financial, legal, logistical and accreditation standards.

Local travel required.

Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives and participates in quality improvement initiatives as requested.

Performs other duties as assigned.

QualificationsMinimum Education: Non specified; will accept any combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill and ability needed to perform the essential tasks of the job, typically such as would be equivalent to a high school diploma or GED. Preference may be given to individuals possessing a bachelor’s degree in a directly related field from an accredited college or university. Minimum Experience: None. Licensure Requirement: Employee must have a valid Tennessee driver’s license Class D and state mandated minimum insurance coverage.
