PROPERTY AND ASSET MANAGEMENTKeep abreast of market activities in respect of tenant movement, new developments, major vacancies, and other landlords’ strategiesAttend meetings related to successful operations of propertyEnsure the deployment and implementation of the annual preventative and lifecycle maintenance programme and approved within the BudgetMotivation of refurbishments and major repairs as appropriateResponsible for compliance in terms of the OHS Act (all areas including first aid and fire training)Management, control, and oversight of all assets within the building (fixed and moveable) in terms ofAnnual replacementSLA’s in the plant infrastructure to ensure longevity of the equipmentMaintaining the asset record and replacement cycleBUILDING MANAGEMENTDevise a three-year maintenance plan including allowances for provisions or depreciation where applicableInvestigate / initiate proposals for refurbishmentsMaintain a hands-on control of projects in handReview the building status/grade annually and maintain the standards withing those gradesEnsure compliance with legal regulationsComplete regular OSH Act inspections and updates monthlyEnsure that OSH Act requirements are effectively managed and complied withThat fire drills and evacuation procedures are in place and performed as defined by the organization business rulePLANNING AND BUDGETINGPreparation and completion of budgets each yearCompletion of monthly forecast3-year budget preparations / controls3-year CAPEX and OPEX budget preparations / controlsSet and motivate the CAPEX budget per business unitCheck and authorize payments of accounts as per the approved authority levels and that no authorization has taken place outside of the approved frameworkFUND REPORTINGProvide accurate information to owner according to agreed format timeouslyAnalysis of monthly income/expensesAnalysis of operating costs monthly in terms of the approved forecastMonitoring of all municipal recoveries (and general recoveries monthly)TENANT MANAGEMENTTenant satisfactionDeal with correspondence / interaction with tenants as requiredEXPENSE CONTROL/ANALYSISApprove CAPEX within authority limitsEnsure we conform to CAPEX proceduresEstimate new operating costEnsure recovery of operational cost in accordance with lease termsCheck and authorize payment of accountsAuthorize cleaning consumables, electrical and general maintenance ordersControl municipal payments and recoveries there againstEnsure cost effectiveness and performance of contractorsVACATE AND INTAKEAnnually the vacate and intake is planned by the PM’s and the BU assigned teamBudget controls (across all levels)Timeline management and controlsStock and Human Resource planningAdditional contractor requirementsAsset replacementsRESPONSIBILITY FOR THE EFFECTIVE MAINTENANCE AND REPORTING OF FINANCIAL RECORDSAsses and reports on the monthly performance against budgetsAssess and reports on the monthly occupancy of the buildingAssess and report on the monthly recoveries versus expensesRESPONSIBILITY FOR PROFESSIONAL BUSINESS RELATIONSHIPS WITH VENDORS, CONTRACTORS, AND TRADE PROFESSIONALSActs as a liaison between the company and the external contractorsWorks at maintaining productive business relationships with vendors, suppliers, contractors, universities, and stakeholdersPromotes good will and a positive image of the CompanyEFFECTIVELY MANAGING PROPERTY PERSONNEL, ENSURING OPTIMAL PERFORMANCEProvides leadership to assigned personnel through effective objective selling, delegation, and communication.Conducts regular meetings to ensure that personnel are well informed of changes in policies and procedures and discusses areas needing improvementsDirects daily operationsIdentifies, develops, and implements training programs as appropriateConducts performance appraisals, provides measurable feedback to assigned personnel and suggestions for improved performance. Formulates and implements employee corrective actions as neededEnsures that staffing levels are appropriate, interviews, hires and assigns personnel as necessaryAssist with any ad-hoc duties that is reasonable within your capabilities
