Order Entry Administrator

We are currently seeking a detail-oriented and organized Order Entry Administrator to join our growing manufacturing team! The ideal candidate will have 2+ years of order entry/sales support experience in a manufacturing enviornment. This person should be highly organized and have strong multi-tasking skills. Responsibilities:

Process customer orders accurately and efficiently.

Collaborate with sales, production, and logistics teams to ensure timely order fulfillment.

Maintain order records, including tracking shipments and handling any order-related inquiries.

Assist in creating and maintaining product catalogs and pricing information.

Handle administrative tasks related to order entry, including data entry and documentation.

Qualifications:

High school diploma or equivalent; associate’s degree in business administration or related field preferred.

Previous experience in order entry/customer service roles (2+years)

Proficiency in using office software (e.g., Microsoft Excel, Word, and Outlook).

Excellent communication skills and ability to work well in a fast-paced environment.

Attention to detail and strong organizational abilities.

Day to Day:

Manage the Sales inboxes and email tagging.

Answer incoming main phone line & direct calls/msg.

Review Customer’s P.O.’s and their requirements for unit sales orders.

Order entry: entering & tracking orders. Send OA & Proforma Invoices to customers.

Coordinating orders with salespeople, distributors and the production team.

Communication with Customers & Freight Forwarders. Status of orders, ready for shipment notifications.

Completing and verifying shipping paperwork for US based & overseas orders when ready to ship such as: SLI, SED, Certificate or Origin, CI.

Data entry into customer portals – on occasion

Updating customer information shipping spreadsheet – ongoing.

Backup Shipping: ACE Customs on-line portal site – for shipping overseas orders over $2,500 – training provided.

Backup Shipping: Enter shipping information into the DHL, Federal Express or UPS portals.
