Reporting to the Head of Acquisitions Services, the position works in a highly collaborative environment in the management of the Libraries' collections budget.Has responsibility for monitoring, analyzing, and reporting on the annual collections budget which includes a base of over $15 million as well as general and specific endowments, gifts, and other funding sources.Reconciles quarterly reports on income and expenditures.

Representative Duties

Prepare budget scenarios and detailed financial reports to inform decision making of the Head of Acquisitions Services and the Associate Dean for Collections, Research, and Scholarly Communications

Liaise with the University Libraries Business Office on matters related to invoices, internal orders, and endowment income.

Reconciles quarterly reports on income and expenditures

Develop and recommend fiscal procedures and guidelines related to collections expenditures

Train Acquisitions staff on fiscal policies and purchasing activities

Prepare comparative and historical analysis of appropriate indicator data in support of the Libraries' annual budget review

Allocate general funds and endowments in the integrated library system, monitor expenditures, and complete fiscal close and rolloverThe Acquisitions Department at University Park includes 15 full-time staff members and the department head. Acquisitions handles collections-related transactions for all Penn State University Libraries' locations across the commonwealth including purchasing print journals and books as well as licensing electronic content such as databases, streaming media, and electronic journals. This position requires a Bachelor's degree or higher plus three years of related experience, or an equivalent combination of education and experience.Required Qualifications:

Proficiency in Microsoft Excel and Access

Working knowledge of accounting/financial systems such as SAP preferred

Knowledge of working with multiple budgetsThe salary range for this position, including all possible grades is:
