JOB DESCRIPTION AND POSITION REQUIREMENTS:The Penn State (https://psu.edu) Department of Food Science in the College of Agricultural Sciences (https://agsci.psu.edu) is seeking an energetic, motivated, and experienced Financial Associate to join our team.This position supports roughly 30 department faculty and staff, along with 48 graduate students and post docs with processing various financial transactions related to department general funds, endowments and unrestricted assistance funds. Responsibilities include, but are not limited to the following:

Coordinate, review and enter transactions into SIMBA. Monitor to ensure they are through the approval path before month-end

Reconcile purchasing card transactions and travel in SAP Concur along with purchasing card management (increase limits, cancel cards, new cards, and update cards)

Assist faculty with part-time hiring and terminations in Worklion and Workday

Enter, monitor, and close purchase orders in Shop Onlion. Includes obtaining forms needed for Sole Source Justification, Cost Account Justification, Purchase Order Change Forms, etc.

Prepare invoices for the Sensory Evaluation Center (SEC) and E. coli Reference Center (ECRC) to be sent to outside companies for payment. Process credit card payments as needed for the ECRC

Main point of contact to process, monitor, and distribute cash advance money to SEC Coordinator, faculty and graduate students for weekly panelist incentive payments

Create and distribute financial reports to department faculty as requested

Process checks for deposit according to Penn State policies and procedures

Assist with other administrative duties and provide backup to other staff positions as needed (mail, phones, office supply ordering, etc.)

This position will be on-campus until training is completed and then discussions for hybrid may begin. Questions related to flexible work should be directed to the hiring manager during the interview process.Education and Experience:This position will be filled as an Intermediate Support or Senor Support. Minimum requirements for an Intermediate Support include a High School diploma or higher plus two years of related experience or an equivalent combination of education and experience. Additional education and/or experience are required for higher-level positions.Successful applicants should demonstrate outstanding interpersonal, organizational and communication skills. They must also be able to multi-task and demonstrate a high level of attention to detail. Ability to work independently yet function within a team-driven organization is a must. In addition, this position must be able to provide exceptional customer service to a diverse group of customers.
