JOB DESCRIPTION AND POSITION REQUIREMENTS:The Social Science Research Institute (SSRI) is currently seeking an Events and Program Coordinator to oversee all aspects of the programming events, co-manage the internal seed grant program, or other program activities across the breadth of SSRI’s portfolio. SSRI’s strategic mission is to foster interdisciplinary research that addresses critical human and social problems at the local, national, and international levels.The Events and Program Coordinator will report to the SSRI Managing Director. This position will collect requirements and inform stakeholders; establish program milestones and event timelines; oversee program implementation with staff and leadership; draft and/or edit agenda, create slides and presentation, and analyze program data and monitor return on investment. They will also configure InfoReady campaigns and organize and manage program documentation. This position will be a member of the Administrative Core team and will assist with administrative, financial and scheduling tasks as needed. We are looking for a creative professional who thrives in a team-based, collaborative work environment.Responsibilities: The Event and Program Coordinator will have the following responsibilities:
Coordinate and schedule events with stakeholders, project teams, faculty and staff, review panels, committees, etc.This includes all the administrative tasks of booking the rooms, sending the calendar invites, creating the Zoom or Teams meetings, creating the materials, agenda, name tags, draft presentations, pamphlets/handouts, etc.It also involves overseeing the menu planning and ordering, as well as supporting the speaker travel coordination, etc.
Co-manage the SSRI Seed Grant Program. This includes working closely with the SSRI Director and assigned Associate Director to set the submission, review, selection and notification timelines; drafting requests for proposals and assembling the proposals for the review panel.Configure and manage the InfoReady campaign to accept, review and award the seed grant projects.
Collect feedback on program execution and incorporate changes to improve programs from year to year (Seeds Grants, new Faculty Onboarding, or other activities funded by SSRI).Request reports on funded SSRI activities and collect/collate reports for SSRI Director.Organize and distribute replies by SSRI for funding reports.
Support various Units within SSRI for administrative, financial and scheduling support activities.This includes scheduling/attending meetings, SAPConcur travel reports, procurement support and other needs as identified.
Other duties as assigned.
Education and Experience: This position minimally requires an Associate’s degree or higher and 4+ years of related experience, or an equivalent combination of education and experience. Proficient use of Microsoft Office products including Word, Excel, PowerPoint, Access, Teams, etc. is required. Experience in other software including SIMBA (or a similar financial system), SAPConcur (or a similar travel booking and expense reimbursement system), Live25 (or a similar booking system) and Qualtrics is highly preferred.
