Job Summary:

First Valley Corp, a dynamic and growth-oriented real estate investment firm, is seeking a highly organized, detail-oriented, and professional Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks, will be exceedingly well organized, and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a small office of diverse people and programs.

Key Responsibilities:

- Manage and maintain the CEO’s schedule, appointments, and travel arrangements.

- Act as a liaison between the CEO and clients, investors, and internal staff.

- Prepare and edit correspondence, communications, presentations, and other documents.

- File and retrieve documents and reference materials.

- Conduct research, collect and analyze data to prepare reports and documents.

- Manage and maintain office systems, including data management and filing.

- Arrange and co-ordinate meetings and events.

- Record, transcribe, and distribute minutes of meetings.

- Monitor, screen, respond to, and distribute incoming communications.

- Receive and interact with incoming visitors.

- Liaise with internal staff at all levels.

- Co-ordinate project-based work.

- Review operating practices and implement improvements where necessary.

- Oversee and ensure that all licensing requirements are up-to-date.

Qualifications:

- Bachelor's degree required.

- 3+ years of experience providing support at the executive level.

- Knowledge of real estate investment business practices.

- Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.

- Knowledge of standard office administrative practices and procedures.

- Excellent written and verbal communication skills.

- Strong organizational and planning skills.

- Discretion and confidentiality.
