I’m an ex-Morgan Stanley investment banker and ex-corporate lawyer who moved to Pittsburgh from New York to revitalize and grow my family’s business. We’ve quadrupled net profit in the last 2.5 years since I got here, but I need help to keep us on this growth path.
This is not a basic 9-to-5 administrative assistant role. Essentially, I oversee virtually all aspects of our business and need an assistant jack-of-all-trades to help keep everything organized and everyone pushing forward. Ideally, I’m looking for the kind of person who really commits to the company and eventually takes on a greater role in management.
I’ll teach you everything I know across project management, financial analysis, business strategy, legal review of contracts, etc., but you need to be genuinely curious and willing to learn.
Our potential pipeline for new business currently far outstrips its capacity to take on projects. We’re looking for a dedicated, hard-worker to help me be the face of our company on the front lines with clients. This hybrid role will combine management of staff, executive assistance, and construction project administration at our offices and potentially even supervisory work in the field as you develop and learn more about the business.
Your New Role:
Spearhead key company-wide growth projects and initiatives with the COO
Maintain project-level financial ledgers (essentially light Excel bookkeeping)
Develop and maintain schedules for our crews
Scheduling and maintaining the COO’s business calendar
Managing client onboarding, including maintaining systems
Email communications to clients
Assist our sales team with evaluating bid opportunities and ensuring conformity to bid specifications
Troubleshooting issues as they arise
Updating procedures with step-by-step instructions as programs evolve
Review of construction documentation and contracts
Potential for short-term site visits and check-ins to various project sites across the U.S.
Assist in the design and approval of custom components for pre-engineered metal building systems
Prepare financial reports
Your Qualifications:
At least 2 years of experience as a general manager, assisting an executive or as a project manager is required
Construction or real estate industry experience not required, but would be helpful
Self-motivated and hard-working with a desire to manage a growing book of business
Bookkeeping experience preferred, but I can teach you what you need to know if you’re willing to learn
Eager to understand about the building products and construction industries
Excellent written and verbal communication skills
Experience managing busy schedules and interacting with clients is required
Must be very comfortable with MS Office, in particular Word and Excel, and willing to learn and develop new programs as we onboard them to our platform
Meticulous attention-to-detail and organization skills are a must
Comfortable managing many tasks at once and running with projects without me micro-managing you
