The Administrative Assistant I performs a variety of clerical responsibilities under minimal supervision. Responsible for answering and routing all incoming telephone calls and greeting clients, vendors and visitors to the laboratory. Provides administrative support to the laboratory including correspondence with vendors, general filing and copying, and restocking office supplies. Receives and distributes incoming mail, and prepares outgoing mail. Assists with new employee setup.This position is full time Mon-Fri 8:30am-5:00pm with overtime as needed.  Candidates must live a commutable distance to our lab in Pittsburgh, PACompensation: $19-22/hour  (DOE) plus full benefitsEssential Duties and Responsibilities:Demonstrates and promotes the company visionRegular attendance and punctualityScreens and routes calls courteously and efficiently to ensure clients/vendors receive professional customer service dailyGreets customers, clients and visitors to the laboratory daily and follows appropriate sign-in procedures to create a positive impression of Eurofins Environment business practices.Receives and routes mail, faxes and various business correspondences to the appropriate department or employee so that it may be processed in a timely manner daily.Assists with photocopying and filing.Collects and tabulates vendor information for spreadsheets and reports.Uses an array of business software applications (e.g., Word and Excel).Performs basic office procedures according to standard operating procedures so information is appropriately maintained.Prepares outgoing mail daily and ensures that it is shipped in the most cost effective manner and received on a timely basis.Acts as a liaison with other departments and outside agencies including high-level staff. Handles confidential and non-routine information and explains policies when necessary.Secure appropriate Visas and passports for travel for executives.Maintain inventory for office supplies, coffee and kitchen supplies placing necessary orders to replenish, stock and keep clean and organized.Maintain office machines such as fax, copier, scanner, and calls for service when needed. Ensure paper and toners are available for general use.Establishes security credentials for new employees.Conducts all activities in a safe and efficient mannerPerforms other duties as assigned
