Description We are offering a contract to hire employment opportunity in the transport industry for an Administrative Assistant in Pittsburgh, Pennsylvania. This role involves acting as the primary point of contact for senior management, managing administrative tasks, and coordinating internal and external meetings in a fast-paced environment.Responsibilities: Serve as the first point of contact for senior management, handling incoming calls and correspondence independently whenever possible. Manage administrative tasks including calendar management, appointment scheduling, and expense reconciliation. Coordinate and schedule internal and external meetings, ensuring all necessary materials and information are prepared in advance. Prepare various documents such as memorandums, letters, reports, agendas, minutes, and presentations using different formats like Keynote, PowerPoint, and Google Slides. Handle all travel-related activities, including itineraries, expenses, and travel-related services. Develop and implement systematic approaches for department administrative processes and procedures. Collaborate with internal stakeholders and external vendors to provide or receive necessary information, materials, approvals, and updates. Assist with departmental tasks, including conference room requests, team events, offsites, and employee recognition efforts. Organize and prepare department meetings and cross-department meetings. Maintain a database of contacts, contracts, and other relevant information. Requirements Minimum of 2 years' experience in an administrative role within the transport industry Proficient in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word Proven experience in data entry with a high level of accuracy Ability to handle both inbound and outbound calls professionally Excellent customer service skills with the ability to manage queries and complaints Experience in managing email correspondence effectively and in a timely manner Ability to schedule appointments and manage calendars efficiently Experience in dictation and transcribing notes accurately Strong organizational and multitasking skills Excellent verbal and written communication skills Ability to work independently and as part of a team High attention to detail and problem-solving skills.
