Academic Records SpecialistThis is a proposal for a temp position for Student Records in SCI. This position would assist current Records staff with everyday tasks, relieving some of the current overwhelming workload. The tasks below are listed by Perceptive area and include the access needed to complete them. This position and the tasks assigned to them do not require a nuanced understanding of SCI process and policy. These are tasks that can be taught quickly to aid in maximum assistance in a short time. The temp would not be solely responsible for all tasks below. Current records staff would also aid and manage the queues in their area. The temp would monitor them for work that needed done as directed. Their work will mostly focus within the queues, so once they know how to do them, they can mostly self-monitor by the work listed in their assigned areas.
Current Records Maintenance - Advisor Updates for plan updates on advisor pages for newly updated majors - Dept/Prog Waiver Indexing - Newly Received Docs Indexing - Plan/Subplan Indexing - Memos for Summer Transfer Credit approvals/denials (if Dean is no longer doing them)
Grad Matriculation - Waive Test Checklist - Packet Complete - Data Structures Waiver Pending - DINS Prerequisites Waivers (AAR Pending) - Advisor Update Pending - Indexing Official Docs Check - Double checking Packet Pending - Assisting in emailing students and admins about missing documents
Undergrad Admissions - Indexing Applications - Aiding in Research for Course Evaluations for SCI courses
Undergrad Matriculation - AP Test score posting - Transfer credit posting after evaluations are complete - Aiding in Research for Course Evaluations for all other coursesA High School Diploma or GED is required for this position and a Bachelors degree is Preferred.Access Needed: PeopleSoft - Student Advisor - Student Program/Plan (Viewing) - Electronic Address (Viewing) - Checklist Management Person - Test Results - Authorize Student Exceptions - Test Credits Automated - Course Credits Manual - Class Permissions - Request Transcript Report Other - Admissions by Liaison - Perceptive - Suite CRM - SCI Permission Number request system
Training Plan: 1. Introduction to Perceptive and PeopleSoft, showing how one affects the other. How documents come into PC and move through it. Intro to Records vocabulary and workflow. How indexing and custom properties work, how they affect how a document moves and where it goes, how it affects later processing. 2. Teaching indexing for different queues. What information is needed for each, where to find it, routing forward. 3. Teaching PeopleSoft processes, how to turn forms into an alteration of a record. 4. Teaching miscellaneous tasks outside of PC and PS. 5. Checking work and correcting where needed.
