Job Summary

Our busy, client-focused office needs a reliable, well-organized Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Office Manager will be responsible for answering phones, setting client appointments, organizing and maintaining daily calendars, streamlining administrative procedures, inventory control and task delegation. We’re looking for an energetic, caring professional who is competent in managing several aspects of the office.

Responsibilities and Duties

· Act as point of contact for new and existing clients who wish to make an appointment for service in their home

· Maintain detailed and organized client files

· Schedule and maintain the carpenters’ calendars and client appointments

· Use available resources to assist carpenters’ as the need arises

· Keep the office neat, organized and well stocked

· Run errands as needed

· Build and maintain good working relationships with vendors and suppliers

· Order and track parts and supplies as needed for jobs and officefollow up as needed

· Assist in the hiring process: setting interviews and onboarding

· Assist the owner and other project managers as needed i.e. setting appointments, planning for office gatherings, scheduling, accounts payable and accounts receivable

· Problem solve queries with clients or carpenters if the need arises

· Understand that you are working with clients who have trusted us with their homes. Be respectful and caring at all times

· Submit company payroll weekly and maintain current, accurate and confidential payroll records

· Comfortable working independently or as part of a team

· Excellent communication skills; both verbal and written

· Experience with scheduling, budgeting and payroll

· Supply management experience

· Comfort with fast paced environment

· Proficient in MS Office Suite, Gmail and Google Calendar

· High School diploma or better required

· Experience in an office environment is preferred
