About This Role:

Position available for a chiropractic assistant at a busy chiropractic wellness center that treats the patient as a whole, not just addressing specific discomfort or symptoms. We are looking for someone to learn and OWN this positionIf you are an outgoing, customer service oriented professional that is meticulous and detail-focused and you love helping people get healthy, this is the job for you! You MUST be an energetic EXTROVERT welcoming our patients into the office and have a great skill with remembering small details to make each patient feel loved and welcome. This role leads our Front Desk team of chiropractic assistants.

Office experience and/or other customer-facing/customer service work experience

Strong computer skills, particularly experience working with Google Suite, electronic health records (preferred, but not required), and project management software (Monday.com preferred, but not required)

Strong people leadership and mentoring skills

Exceptional organizational and operational skills

Must be able to type quickly and do simple math

Primary Responsibilities:

Oversight of daily tasks at the Front Desk, including LMA (lead, manage, hold accountable) of team members and making sure they are on task, ensure all patients receive care prescribed in a timely manner, and make sure any changes made are posted correctly in Chirotouch.

Coach and mentor new team members as needed at the Front Desk, assisting team as needed.

Ensure proper coverage of the Front Desk at all times.

Oversee Front Desk performance by using task sheets and metrics to see where we need to improve continuouslyboth for people development and processes.

Communicate with other leaders, doctors and team members what needs work or could be improved and come up with ways to fix it.

Manage and oversee inventory of office supplies and products.

Coordinate and oversee down-time tasks based on office needs.

Assist other team members as needed on floor and front desk during busy times.

Ensure all patient information, or resources are properly entered and/or scanned into the system (patient info, forms, radiology discs, etc).

Ensure team members capture “purpose” of appointments, providers, re-exams, and PR/ROF are properly entered into patient appointments.

Improve office operations through customer service and speed.

Co-facilitates 30/60/90 day reviews for new front desk team members with Operations Manager, as well as quarterly conversations for performance management for practice location.

Handle team member questions and concerns regarding daily tasks, responsibilities, office policies.

Secondary Responsibilities:

Greeting patients with a big smile whether they are in the office or on the phone in a busy atmosphere

Welcome patients, give appropriate paperwork, make sure all paperwork and check-ins are accurate.

Answering phones, scheduling appointments, tracking, and recalling patients

Call and track missed appointments and get patients rescheduled.

Intake of all new patients - Right Place Promise, ROM, health history

Prepare patient paperwork and folders

Collect at the time of service, explain insurance if needed.

Keep new patient tracking spreadsheet accurate and updated at all times

Reinforce treatment plan, education and the doctors’ recommendations for care

Insurance and collecting payments and post to patient accounts

Scanning files and shredding

Educating our patients about our products and services

Assist other team members, including doctors, as needed and as requested

Scheduling appointments in the patient’s treatment plan.

Maintain a clean zone in the reception room and behind the desk. Job training in the Wayne office for 60 days

Attend staff meetings/trainings

Other duties as assigned

Expected Hours:

Monday through Thursday - 11-7pm and Friday 8:30-3.

Must be flexible as hours may be subject to change as we grow
