Merit Electrical Group, Inc. is looking for a Project Administrator to join our team in our Oakmont office. The Project Administrator is responsible for various functions of project administration, including assisting the Project Manager with project startup and close-outs, billings, submittals, purchase orders, updating databases, obtaining permits, and other various project administrative functions.Job Responsibilities:
Assists Project Managers (PM) with project startup utilizing the project startup checklist.
Issues purchase orders (P.O.’s) and subcontracts to vendors based on final quotes and bills of materials provided by PM/PE.
Transmits approved submittals and product releases to vendors.
Assis with AP invoice routing, cost coding, and approval.
Crafts and submits requests for information (RFI’s) to customers as necessary.
Administer Requests for Change Orders (RFCO) for approval for modifications of work.
Prepares appropriate billing forms for PM completion, and transmits billings to the owner’s representative. Prepares, transmits, and documents all stored material documentation and required billing backup documentation, including certified payroll reporting.
Requests, compiles and transmits all close-out documentation.
Maintains electronic file folders and logs. Generates open issue reports on regular intervals, posts and transmits information to the field and communicates to Project Manager.
Manages electronic documentation controls including Sage 100, Procore, and SharePoint.
Job Requirements:
H igh school graduate
Must be 18 years of age
Ability to read and understand bid documents.
Able to comprehend electrical contracting terms, electrical drawings and equipment
Ability to change focus from one project to another when appropriate, in an organized manner while maintaining high attention to detail
Displays proficiency in computer skills using Microsoft Office programs including Word, Excel, PowerPoint and with high proficiency in Excel, spreadsheets and database applications
Ability to administer a large number of projects concurrently
Minimum two years’ experience with administrative experience in a construction, engineering or contracting organization with project submittals and associated work preferred
Must present professionally in appearance and speech
