Responsible for investigation, analysis and audit of the Lease Administration function for the FedEx FedEx (FedEx) Real Estate (RE) department. Participates in the development and oversight of processes and controls related to lease administration, ensuring data integrity and lease compliance, as well as resolution of identified landlord/tenant discrepancies.Essential Functions
Oversees the coordination, monitoring, review and approval of abstracted legal documents prepared by Real Estate Lease Administrators and Third Party Vendors (primarily leases).
Conducts desktop review and on-site audits; presents audit findings and recommendations to Legal and Real Estate.
Engages Real Estate Specialists, Managers and third party vendors in audit findings and the proposed resolution of complex and disputed variances.
Identifies and analyzes rent variances; negotiates and makes recommendations for settlement agreements based on industry, site-historical and FedEx standards.
Manages client, vendor, and landlord relationships, facilitating resolution of lease payment inquiries including the completion of complex account reviews to ensure lease compliance.
Responsible for the audit of annual landlord reconciliation statements and real estate tax calculations are complete, accurate, and compliant.
Provide relevant analysis and information for internal and external audits including sales and property tax.
Investigate changes in property taxes to recommend the increase or decrease is properly supported by a change in the environment or expansion to our premises.
Investigate leased properties where expenses appear to be inconsistent with the lease requirements and make appropriate recommendations.
Communicate with and influence non-compliant landlords to explain legal responsibilities under the agreement and force compliance through legal intervention where necessary.
Develop reports and analyze data to ensure lease compliance. Report findings and provide recommendations to Real Estate Managers and department Director.
Develops, implements, and continuously evaluates the Real Estate lease audit program.
Leads FedEx Real Estate lease cross operating company initiatives, including lease system implementations, modifications, and upgrades.
Perform other duties as assigned.
Minimum Education
Bachelor’s degree in business, finance, accounting, or related field required high school diploma or GED and four (4) years’ experience in addition to minimum years of experience (7 years total relevant experience) in lease administration or related area is accepted in lieu of degree.
Minimum Experience
Three (3) years’ experience directly related to commercial lease administration or audit, including experience with one or more of the following: rent reconciliations, taxes, insurance and CAM/OPEX, and/or real estate contracts.
Knowledge Skills and Abilities
Software skills, including use of Microsoft Office software and web-based applications.
Working knowledge of PeopleSoft Query tools preferred.
Verbal and written communication skills necessary to communicate with all levels of management.
Ability to analyze, review, and make recommendations. Strong financial analysis skills.
Ability to anticipate and identify problems and use sound judgment and fact-based analysis to develop effective and efficient solutions.
Advanced knowledge of concepts, practices, and procedures related to finance and commercial lease administration.
Ability to develop effective methods of tracking, monitoring, and analyzing data.
