The Proposal Specialist has responsibilities for researching and completing Request for Proposals (RFP), Request for Information (RFI) and Proposals. They will act as the communication strategist, writer, editor, and project manager. They will also be responsible for making sure various steps throughout the sales process are completed.ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited, to the following:
Manage the on-time delivery of new business and renewal proposals from start to finish
Track all proposals that fall under the Consolidated Appropriations Act (CAA) of 2021 for compliance and audit purposes
Maintain a standardized process for submitting proposals
Produce RFPs, RFIs, and proposals consistent with MMA's branding, creating PDFs, and embedding and linking multiple files into a single document
Write proposals that persuade prospective clients to want to work with MMA to develop strategies and address their unique needs
Manage the maintenance of the proposal database software
Serve as the proposal expert at the regional level, collaborating with counterparts at the national level to ensure best practices
Collaborate with MMA's proposal team on identifying new content, strategy and formatting opportunities
Contribute as a peer editor and copywriter for the regional RFP database
Collaborate with business line leadership and subject matter experts to write and polish responses and RFP content about new and current services and solutions, including an annual review and refresh of content
Directly collaborate with and support producers from the beginning of the sales process through the end, including but not limited to educating producers on the sales processes used at MMA; training producers on using the sales tools required to navigate the process; workflow review; and ensuring that each step of the RFP/proposal sales process is completed and documented in required systems (i.e., CRM, sell sheets)
Sales opportunity/finalist meeting presentation strategy and messaging support as a follow up to a completed proposal, including but not limited to facilitating discussion and decision on the strategy and story for prospect finalist meetings, development of draft presentation and project management through finalization of presentation and completion of meeting
REQUIRED EDUCATION AND EXPERIENCE
Bachelor's Degree in English, Communications or other related areas is preferred, but not required
Previous RFP, RFI, and proposal development experience is a plus, along with critical analytical skills and strong project management skills
Previous experience with RFP database software (e.g., Loopio) and CRM tools is a plus
At least one (1) year of experience in a professional office setting with responsibility in administrative and sales support functions is a plus
Experience working within a large sales team is a plus
KNOWLEDGE, SKILLS AND ABILITIES
Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
In-depth knowledge of document formatting, layout, and design, and experience submitting proposals for private, public, government and non-profit organizations is a plus
Demonstrated capabilities to handle tight deadlines, shifting priorities, and the ability to find creative solutions
Excellent and persuasive verbal and written communication skills
Results-oriented and solution-focused, with a problem-solving attitude
Team player; willing to contribute whenever needed to accomplish goals and meet deadlines
Proactive and positive style
