Patient Intake Representative

TEKsystems is presently partnering with a growing healthcare organization in Montgomery County who is committed to providing exceptional patient care. The Client Navigator Intake Specialist plays a crucial role in ensuring seamless coordination between patients, caregivers, referral sources & the sales teams. The positions focuses on managing the intake process for new product placements of durable medical equiptment in patients home environments. The Specialist is the first point of contact for all new and returning clients and ensures an exceptional patient experience. Description:

Review and organize incoming requests for DME product placement.

Making outbound calls to patients & providers to gather understanding of needing the products

Ensure accurate documentation and timely processing of intake forms.

Coordinate with sales teams to determine the most suitable DME products for patients.

Facilitate the placement of DME orders based on patient needs and physician recommendations.

Verify insurance coverage and obtain necessary authorizations.

Maintain detailed records of patient interactions, orders, and delivery schedules.

Ensure compliance with regulatory guidelines and company policies.

Address any discrepancies or issues related to documentation promptly.

Communicate with patients and caregivers to provide information about DME products.

Address inquiries, concerns, and follow-up requests.

Foster positive relationships with patients to enhance their overall experience.

Work closely with sales representatives to coordinate product deliveries.

Collaborate with internal teams (sales, containing compliance, etc.) to streamline processes.

Participate in team meetings and contribute insights for process improvement.

Build and maintain strong relationships with referral sources (physicians, clinics, hospitals).

Provide exceptional service to encourage repeat referrals.

Begins Intake processing by reviewing records and documentation from the referral and ensures all information is entered into the medical records system correctly.

Performs insurance verification and enters product order into billing system

Manages and maintains proper and timely notes in records system for each order.

Generates delivery tickets to technicians. Uploads all documents to medical system and closes out the patients order upon delivery confirmation

Works on additional projects as given them by their supervisor/Team Lead

Additional Skills & Qualifications:

Ability think critically

Can perform basic math calculations.

Ability to maintain patient confidentiality and follow HIPAA requirements, Medicare, Ethos and compliance standards, policies and procedures.

Able to communicate verbally and in written correspondence in clear, concise, complete and respectful manner. Uses proper grammar and punctuation and is free of spelling errors.

Able to organize work and set priorities to meet deadlines.

Works cooperatively with others.

Develops positive and supportive relationships with Therapy Consultants and Field Service personnel.

Ability to work with minimal supervision and with extensive detail

Capable of learning new computer software packages.
