Job LocationAllentown Hub - Allentown, PAPosition TypeFull TimeTravel PercentageUp to 50%DescriptionPOSITION SUMMARY:Under minimal supervision from the General Manager, Senior Director of Clinical Operations, or EVP; the Operations Manager is responsible for the day-to-day supervision of Area Operations by location. This includes supervision of clinical staff in multiple locations, working closely with the leadership team to help drive revenue growth, employee retention, and exceptional customer service.RESPONSIBILITY/AUTHORITY ASSIGNMENT:In the absence of the Operations Manager, the General Manager (GM), Senior Director of Clinical Operations, or EVP are responsible for decisions in this arena.ESSENTIAL FUNCTIONS:
To perform this job successfully, an individual must be able to perform each of the following essential functions satisfactorily.
Manage any customer concerns that may arise when the clinical employees are performing nuclear stress services and ensure the clinical employees are meeting the needs of all physicians and their office staff.
Responsible for the day-to-day supervision of hub/area operations of clinical staff in assigned location(s), including but not limited to working with the Leadership Team and Human Resources in recruitment, employee issues, assist with writing and delivering performance reviews, and assist in managing the clinical staff schedule.
Along with General Manager, Operations Manager is responsible for assigned Area(s) P&L including accurate forecasting of and management of service days, revenue, and labor.
Supervise the employees in the assigned hub(s) with regard to the following:
Oversee the recruiting and training practices to ensure quality of staff.
Interview candidates and provide critical input with respect to recruitment and ensure that the hubs are appropriately staffed.
Provide initial draft of performance review and provide critical input into employee ratings and compensation, assist GM with finalization of annual performance reviews.
Discipline employees as needed; work with GM and HR to ensure that processes and policies are followed and create the required documentation.
Make recommendations to HR and GM for termination of employees and participate in termination decisions and/or process.
Coordinate training for all new hires and sign-off on training checklists before staff is approved to work independently.Work with GM and HR to ensure that all employees are trained and tested to SOP's as they are rolled out and give input on professional enrichment programs and licensing requirements.
Supervise all aspects of employee time management including: service coverage, PTO requests, sick days, time card compliance and overtime.
Hold monthly staff meetings to review corporate news, local issues, and opportunities for continued improvement of service delivery and efficiency.
Work with RSO's to ensure good Radiation Safety practices through: Rad Safety tracking system, surprise audits, and incremental training from RSO's.
Responsible for camera fleet management at assigned location(s)by working with Customer Service and/or Operations Services staffin coordinating scheduled maintenance and repair of cameras.
Manages hub/area records and filing according to State and other regulatory agency guidelines, including wholesale pharmacy licensing records, patient medical records, billing records and customer schedules.
Responsible for managing hub/area maintenance, including organizing and ensuring utilities/services are operable, organizing weekly/monthly cleaning schedule for hub/area employees. Responsible for opening and closing of supervised hubs including, but not limited to, setup/discontinuing utilities (through Operations Services), working with property management issues, obtaining appropriate licensure, ensuring completing of tasks listed on hub opening/closure checklist.
Responsib e for overseeing and managing supply inventory at assigned location(s) including medical and office supplies.
Responsible for Radiation Safety in assigned location(s), including but not limited to maintaining records, coordination of film badges for all clinical staff, coordination of disposal/removal of RAM waste, ordering and inventory of RAM supplies and assisting the Radiation Safety Officer as needed as it relates to location(s) audits and maintenance of licensing.
Responsible for vehicle fleet management at assigned locations(s)by assisting Operations Services staffin coordinating scheduled maintenance, repairs, annual registration renewals and the reporting any vehicle damage.
Perform random audits of clinical staff in assigned location(s), ensuring image quality control, radiation safety, adhering to all company, state, and federal regulations and policies.
Participates/coordinates the training and mentoring of new hires in assigned location(s) tracking the completion of all required training courses and continuing education. Track and maintain current training requirements for clinical staff.
Assist Operations Services as assigned to obtain and maintain Accreditation for eligible locations. Ensuring hub operations conform to accreditation standards, including the following:
Pull random samples quarterly of images done by all Nuclear Technicians and submit to QA coordinator and reviewer.
Pull random samples semi-annually of images, interpretation report and any associated cardiac cath report for each interpreting physician performing over-reads, and submit to QA coordinator and reviewer.
Conduct and document regular clinical operations Quality Improvement meetings, following the Quality improvement policy and form for meeting minutes.
Assess effectiveness of policy and procedure training through monitoring QA process results and audits.Provide written feedback to Technologists on results of QA assessments and implement corrective action to improve results as needed.
May assist with submission of new accreditation applications, gathering all associated materials for submission, supporting site visits/audits, and providing timely responses to any delay or provisional items noted in accreditation agency decisions letters
Ensure Operations Services is notified of changes in key positions (Medical and Technical Director listed in application) in order to notify accreditation organization within 30 days of change.
Ensure employee and physician credentials are submitted and are up to date.
Maintain current information in other databases, as needed to support accreditation process.
Other duties as assigned.NON-ESSENTIAL FUNCTIONS:Operations Manager may perform clinical duties based on need (if applicable, depending on their education and training), but in no event shall Operations Manager perform these duties more than three (3) days per week (on average).QualificationsQUALIFICATIONS:Ability to (Competencies):
