Administrative/Accounts Receivable Clerk

We are seeking a responsible Administrative Assistant to work in our family owned business and perform a variety of administrative and clerical tasks. As an Administrative/Accounts Receivable Clerk, you will provide support to our project managers and employees, assist in daily office needs, and manage our company’s general administrative activities. Flexible hours are available within our office under our normal Monday to Friday operating schedule (8am to 5pm).

Admin Assistant Responsibilities:

-Answer and direct phone calls

-May assist with organizing and scheduling deliveries

-Write and distribute emails, correspondence memos, letters, faxes, and forms

-Assist in the preparation of regularly scheduled reports

-Update and maintain office policies and procedures

-Order office supplies and research new deals and suppliers

-Provide general support to visitors/contractors

-Act as the point of contact for internal and external clients

Accounts Receivable Responsibilities:

-Process accounts and incoming payments in compliance with financial policies and procedures.

-Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables’ data.

-Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.

-Facilitate payment collection and resolve billing issues.

-Generate financial statements and reports.

-Maintain contact lists for contractor accounting departments

Requirements and Skills:

-Proven experience as an Administrative Assistant, Office Admin Assistant, Accounts Receivable Clerk

-Knowledge of office management systems and basic accounting procedures

-Working knowledge of office equipment, such as printers and fax machines

-Proficiency in MS Office (especially Excel,Word,Adobe)

-Excellent time management skills and the ability to prioritize work

-Strong attention to detail and problem-solving skills

-Excellent written and verbal communication skills

-Strong organizational skills with the ability to multitask

-High school degree; additional qualification as an Administrative Assistant,Secretary, Accounting Clerk is a plus
