For immediate consideration, apply by Thursday 20th!Summary of Role: The Human Resources & Front Office coordinator (HR&FOC) ensures excellent customer service and consistency of front desk operations by coordinating, training, and supporting temporary staff, vocational trainees, and volunteer receptionists. HR&FOC supports employees across the Food Share by providing technical assistance and information related to human resource functions and operations, assisting staff with HRIS issues, performing HRIS data entry, file audits, report management and providing excellent customer service.You Are… An Effective Collaborator. You are excited by the opportunity to be a positive role model for our Vocational Trainees by demonstrating qualities such as responsibility, understanding, work ethic, and a commitment to DEIJ values.Your responsibilities as the HR Generalist & Front Office Coordinator will include:60% - Assists the Director of People and Culture in the daily administration of HR operations.Manages and controls new and existent Position Descriptions in HRIS.Coordinates and supports Supervisors with the Recruitment and Selection process. Communicate with candidates, recruiters, and hire leaders throughout the recruitment & selection process.Manage and prepare onboarding and portion of the separation processes in coordination with supervisors. This includes HR Compliance - Employment Eligibility and its maintenance.Trains new hires to Paylocity, timesheet, leave requests, leave balances, check stub information.Complete requests for information from outside entities that require available, verified information on past or current employees (e.g. student loan forgiveness, child support, income verification, and other forms).Assist supervisors and managers with timecards, HR actions, and events, and any other Paylocity inquiries.Responsible for providing special reports from HRIS as needed.Supports all staff with any HR related questions.Assist in administering employee policies.Coordinate and provide guidance to staff regarding FMLA/OFLA/PLO/ADA eligibility and tracking.Participate and make contributions regarding DEIJ related topics.Performs other related duties and projects assigned.5% Benefits administrationManage employee benefit (medical, dental, Life/Disability, FSA, HSA) process.Leads Open Enrollment, explains rules and plans to employees.Serves as a liaison between providers, benefits broker, employees, and HRIS.Implement periodically audits to ensure all systems and information are correct.5% Safety & Workers CompManage worker's compensation claims, submissions, and inquiries.Ensures OSHA compliance.Represents HR department in the Safety CommitteeSupports Managers & Supervisors with Safety related matters and inquiries.30% - Coordinates the Front OfficeCoordinates front desk operations including interviewing, hiring, training, providing direction and support to receptionists, temp employees, and vocational trainees. Ensure that Front Desk Staff:Receives incoming mail; sort and distributes to appropriate staff.Assists in the preparation of printing materials, mailings, newsletters, etc. and provides general administrative support as needed.Accurately records all incoming financial donations and coordinates with Finance, Donor Services, and Development Departments to ensure correctness.Accurately and efficiently processes and records credit card, check, and cash transactions.Supports and tracks office supply inventory and reorders when needed.Ensures the cleanliness of the front lobby and kitchen/breakroom.Provides and models excellent customer service for internal and external staff, volunteers, and community members.Willing to use company vehicles or own vehicle as needed. Process Invoices for payment as needed.Other duties as assigned.The most competitive / strongest candidates will possess a combination of the following background, skills, experience, and knowledge. Two years of experience providing excellent customer service in an front office setting.Two or three years of experience supporting Human Resource functions.Prior cash counting, A/R experience.Proficient in Microsoft Office 365 software including Word, Excel, and Outlook.Prior experience with HRIS systems like Paylocity.Bachelor's DegreePrior experience training and supporting other staff.Must pass pre-employment drug screen (excluding THC) and full background check, including eligibility to work with vulnerable populations.Must pass driving record check and be insurable through Marion-Polk Food Share's vehicle insurance policy.All candidates will need: Excellent customer service skills and the ability to provide warm, welcoming office experience.Excellent written and verbal communication skills, with the ability to clearly communicate to all levels of the organization.Ability to handle a constantly changing structure and staffing support.Ability to handle constant interruptions.Excellent organizational skills required. Ability to successfully balance multiple projects, prioritize effectively, and quickly respond to constantly shifting needs.
