Executive Admin - Property Management

This position is in-office downtown Portland, remote work is unavailable.

$40 per hour, Monday - Friday, 40hrs per week.

Provides high-level administrative support to various managers. Plans, organizes, and oversees projects to ensure they are completed on time, within budget, and to the required quality standards, acting as a central point of communication and coordination for the stakeholders.

Duties

Provides support to asset managers for daily portfolio operations

Manages a variety of property management-related projects

Plans and implements company events

Respond to emails and phone calls and elevate issues to Asset Managers, when appropriate

Responsible for weekly and monthly client reporting requirements

Orders various property related signs, pagers, stamps, uniforms, gifts, etc.

Coordinates and assembles care packages with operational materials for property acquisitions

Responsible for coordinating Property Inspection Requests

Coordinates claims with third parties

Provides telephone support coverage

Provides general clerical and administrative support

Drafts, edits, and formats professional client and internal documents

Maintains electronic and paper files

Qualifications

Bachelor’s degree or equivalent experience preferred

Minimum of 3 years of administrative experience

Yardi software experience

Property management experience with transaction and terminology exposure preferred

Proficiency in Office Suite; Word, Excel, and PowerPoint required

Basic accounting and/or financial statement knowledge highly preferred

Excellent written and verbal communication skills

Excellent organizational skills, attention to detail

Possess initiative, be self-motivated, work well independently as well as part of a team

Ability to effectively multi-task and thrive in a fast-paced environment with multiple deadlines with a sense of urgency
