Title: Admin. Asst/Assistant Property Manager and Insurance Specialist

Department: Commercial Property Management

Effective: Immediately

Essential Functions and Requirements:

This position will assist a Property Manager with the daily management of a portfolio of commercial properties, as well as maintain tenant and vendor insurance certificates for all properties. We’re looking for a team player with a positive attitude and excellent written and verbal communication skills who will provide outstanding customer service to our tenants, vendors, and clients. Duties will include but not be limited to the following:

Create owner’s reports and be able to explain financial activity. Assist with the preparation and organization of spreadsheets, letters and other documents as needed

Complete special projects; compile information

Order office supplies including postage and copy machines; process daily incoming mail

Serve as primary point of contact on multi-line phone answering and transferring

Assist Manager with building operations, dispatch maintenance requests and coordinate repairs, procure vendor bids and track service calls

Maintain vendor and tenant insurance certificate tracking system for all properties

Oversee R.E. Taxes tracking system for all properties

Coordinate quarterly shredding program for all properties

Perform credit checks on potential tenants

Answer and respond to calls and emails from tenants, vendors and clients in a timely, professional manner

Draft correspondence to existing clients and tenants

Maintain tenant lease files and assist with all aspects of lease administration

Draft lease abstracts and accounting change forms for Manager approval

Track tenant delinquencies within portfolio

Proof monthly tenant charges and property expenses for Manager approval

Experience/Skills Required

Real estate/property management or administrative support experience a plus.

Detail-oriented with good proofreading abilities.

Demonstrate excellent organizational proficiency and ability to multi-task with people, phones, and projects.

Prioritize job duties accordingly to meet deadlines.

Display a high level of professionalism and integrity, as well as a strong work ethic and interpersonal skills.

Demonstrate proficiency in Microsoft Office including Word, Excel, and Outlook.

Possess a can-do attitude and willingness to jump in and help all positions in a fast-paced, positive working environment.

Exhibit self-starter attributes while being willing and able to problem solve.
