Ethos Music Center believes that all kids deserve access to the benefits of music education. We offer sliding scale music lessons from our headquarters in North Portland and facilitate music outreach programs for students in Oregon’s rural and urban areas.

Admissions Manager Position Description

Location: Portland, Oregon

Job title: Admissions Manager

Pay / Hours: Salary of $41,600 per year, 40 hrs/week, Mon-Fri, exempt. Required to close the building at 8pm at least 2-3 times a week. Medical insurance, PTO, and free music lessons offered.

Summary of Position: This position directs the function and development of the Admissions Department for Ethos’ Music Lessons for Kids (ML4K) program. The Admissions Manager will work from Ethos headquarters to supervise the front desk, schedule families and teachers efficiently, respond to questions and concerns, help process payroll, collaborate on programmatic offerings and implementation, and consistently use inclusive and responsive communication. The Admissions Manager works most closely with the Admissions Coordinator, and reports to the Program Director.

This position must coordinate with, and be reasonably available to other employees, students, families, partners, and other organizational stakeholders. As such, this position also requires clear, respectful, and effective written and verbal communication.

Essential Responsibilities

● Welcome families into the building, and respond to parent and student needs in a thoughtful and comprehensive manner. Contribute to a positive and safe learning environment for students.

● Develop and maintain working relationships with teachers, staff, students, and families.

● Maintain up-to-date records of attendance and schedule changes for parents, students and teachers

in Ethos’ client relationship management (CRM) program.

● Register and re-enroll students for private lessons, group lessons, recitals and showcase

performances through Ethos’ CRM program.

● Collect and record payments for private and group lessons, camps, instrument rentals and

instrument books, as well as submitting refund requests.

● Assist in processing payroll, as well as pulling financial and programmatic reports.

● Answer, direct, and return phone calls, emails, and verbal inquiries.

● Keep parents, students, and staff informed about upcoming events, holidays, and classes, through

online communication and in-person marketing materials.

● Host and provide support for other staff during showcases and recitals.

● Maintain register sheets and transaction reports.

● Communicate with families about upcoming and outstanding balances/fees for service.

● Assist with building upkeep, particularly in the lobby area.

● Work with the Program Director and Admissions Coordinator to support teachers and families, as

well as program implementation within Music Lessons for Kids.

Preferred Qualifications:

● Two or more years experience in administrative management, including CRM programs and customer service.

● Full competency in the Microsoft Office Suite / Google Suite.

● A proactive work-ethic, positive attitude and investment in the transformative qualities of music

education.

● Effective and responsive oral and written communication skills.

● Excellent organizational and administrative skills with careful attention to detail.

● Deep understanding of inclusivity, equity and diversity as a foundation of sustainability and growth.

● Fluency in Spanish is highly preferred.
