We are looking for a responsible Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the manager’s working life and communication.

Responsibilities

1. Administrative Support: Manage calendars, schedule appointments, and coordinate meetings. Handle correspondence such as emails, letters, and phone calls.

2. Travel Arrangements: Organize travel itineraries, including flights, accommodations, transportation, and visas. Provide the necessary travel documents and ensure all arrangements meet the manager’s preferences and requirements.

3. Communication Management: Act as a liaison between the manager and other individuals or organizations. Screen and prioritize incoming communications and respond on behalf of the manager when appropriate.

4. Information Management: Maintain organized files and databases, both physical and digital. Retrieve and provide information as needed.

5. Task Management: Assist with task prioritization, time management, and deadline tracking. Help streamline workflows and ensure tasks are completed efficiently.

6. Event Planning: Assist in planning and coordinating events, such as meetings, conferences, or social gatherings. This may involve venue selection, catering arrangements, and logistical support.

7. Personal Errands: Handle personal tasks such as shopping, bill payments, and other errands as requested by the manager.

8. Confidentiality: Maintain strict confidentiality regarding sensitive information and personal matters.

9. Research: Conduct research on various topics as assigned by the manager. This could include market research, industry trends, or personal interests.

10. Special Projects: Take on special projects or assignments as needed. This might involve anything from conducting a feasibility study to organizing a personal library.

11. Tech Support: Provide basic technical support for devices and software used by the m, such managers computers, smartphones, and productivity tools.

12. Flexibility: Be adaptable and willing to take on new tasks or responsibilities as the needs of the manager evolve.

Requirements and skills

Valid driver license and have reliable transportation.

Within 45 min drive from Boring, Oregon

Proven work experience as a Personal Assistant

Knowledge of office management systems and procedures

MS Office and English proficiency

Outstanding organizational and time management skills

Up to date with latest office gadgets and applications

Ability to multitask and prioritize daily workload.

Excellent verbal and written communications skills

Discretion and confidentiality

High School degree

PA diploma or certification would be considered an advantage.
