Portland Japanese Garden – a 501(c)(3) non-profit in Portland, Oregon – is hiring for a Membership Assistant. This position reports to the Director of Membership and is an integral part of a small team that values communication and collective problem-solving. The Membership Assistant provides essential administrative support to the membership department and is also responsible for providing customer service support to members alongside our Member Experience Coordinator. This is an excellent opportunity for someone who enjoys managing a mixture of time-sensitive independent tasks, problem solving, and providing excellent customer service.
This position works primarily from Portland Japanese Garden’s Sylvan Office (located off the Sylvan exit of Highway 26).

PRIMARY DUTIES
-Department Administrative Tasks-
Compile and mail membership acknowledgment letters
Coordinate the monthly renewal notices with our third-party vendor
Perform routine database hygiene for member records and transactions
Assist with management of community partner accounts, especially related to renewals and fulfillment of community partner memberships
Renew staff memberships annually; create and distribute staff membership cards
Manage department inventory and supplies
Assist with accounting documentation (e.g., coding and submitting invoices)
Manage returned mail and document filing
-Member Support-
Provide general telephone and email support for the Membership Department as needed
Process memberships and contributions including mailed payments, online payments, monthly recurring payments, and auto-renewals
Help manage and resolve customer support tickets submitted by our Visitor Relations staff
Handle customer service complaints as necessary; elevate issues as needed
Staff member events as needed; includes assisting with event check-in, setup, and take down, as well as attending member events
Other duties as assigned
OTHER RESPONSIBILITIES
Familiarize oneself with the organization and the Employee Handbook
Get to know fellow staff members, developing trust, establishing credibility, encouraging teamwork, and creating an atmosphere of open, honest, two-way communication
Serve as a role model for Garden volunteers, providing support and encouragement to volunteers in their roles across the Garden
Maintain a high level of professionalism in manner and appearance
Adhere to Garden Dress Code (business casual)
QUALIFICATIONS

At least 1-2 years working within the nonprofit sector and/or customer service experience
Demonstrated experience with CRM and/or Point-of-Sale Systems (experience with Tessitura a plus)
Proven organizational skills and ability to manage multiple projects with accuracy and efficiency, within varying timelines.
Writing skills and strong editing skills to ensure proper use of grammar, punctuation, and spelling.
Proficient in Microsoft Office Suite.
Ability to work independently with little or no direct supervision.
SPECIAL REQUIREMENTS
Must be able to remain in a stationary position for several hours.
Must be able to work effectively in a shared office environment.
Must have reliable transportation, proof of insurance, valid driver’s license, and clean DMV record for travel between organization locations.
Must be available to work at least one weekend day, and occasional evenings for scheduled events.
COMPENSATION & SCHEDULE
Wage: $18.50 - $19.50/hour
This is a full-time, hourly position with approximately 40 hours per week.
Shifts are typically 8 hours (plus ½ hour lunch)
