Box Office Staff at Third Rail Repertory Theatre

CLASSIFICATION: Paid $18-$20 per hour, depending on experience; 25 hrs per week, with additional evening and weekend hours.

REPORTS TO: Managing Artistic Director

Required, in office Box Office hours are Monday-Friday from 12-5pm. Additional evening and weekend hours are required for performances and events.

ORGANIZATION: Third Rail Repertory Theatre was founded in 2003 and quickly established itself as one of Portland’s most critically acclaimed theatre companies. Now in its 20th Season, Third Rail is a small but mighty professional company of artists and makers that bring exceptional stories to life that provoke dialogue, encourage empathy, and inspire curiosity. Third Rail produces three Main Stage shows per season, presents National Theatre Live presentations from London’s National Theatre, holds monthly salon-style readings with artists and community, and hosts a yearlong Mentorship program for emerging young artists. Third Rail’s offices are located at 2259 NW Raleigh Street where it shares space with collaborators at CoHo Productions and Portland Experimental Theatre Ensemble (PETE).

POSITION SUMMARY: The Box Office Staff executes the day-to-day operations of Third Rail’s Box Office and ensures a hospitable, smooth, and responsive experience for patrons of all Third Rail programming. Box Office Staff must demonstrate and ensure best practices in data entry, reporting, patron account management, and order fulfillment, as well as in tasks related to Third Rail patron and volunteer communication. This role is highly visible and interacts with patrons, donors, vendors, and community. The position works closely with other departments to ensure the highest quality of customer service aligned with Third Rail’s organizational values of impact, inclusion, and rigor. This position also involves basic administrative support tasks. This position seeks someone who is constantly thinking several steps ahead and is comfortable and experienced in juggling multiple tasks in a deadline-driven environment.

QUALIFICATIONS:

- Minimum one year of customer/patron service experience

- Experience with data entry, data maintenance, and reporting

- Experience with Salesforce or PatronManager CRM system preferred

- Proficiency with Google Workspace

- Strong written and verbal communication skills

- Knowledge of basic cash handling procedures and fiscal responsibility

- Ability to work independently as well as work with a highly collaborative team

- Ability to handle multiple priorities and manage projects in fast paced situations and think strategically to solve problems

- Ability to initiate and build relationships with patrons in person, via telephone, and via email

- Ability to maintain a high level of poise and professionalism in all circumstances

- Passion for and/or experience in the performing arts

ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Process phone, email, and in person ticket orders using Salesforce based CRM PatronManager

- Ensure timely and complete responses to patron communications and needs

- Create ticketed events using Salesforce based CRM PatronManager

- Create regular, accurate reports as required regarding patron purchases, sales, and events

- Ensure database maintenance and hygiene practices.

- Maintain thorough knowledge of ticketing software, ticketing policies, and programming options available to patrons.

- Assist in outreach to and cultivation of relationships with Third Rail Members, ticket buyers, and partnership organizations

- Create and send event reminders and follow up communication with Third Rail patrons through email marketing platform Mailchimp

- Coordinate scheduling for event volunteers

- Onboard new Third Rail Members and assist in Member retention efforts

- Serve as Front of House and Box office staff for Third Rail programming, which includes assisting patrons, training volunteers, tracking inventory, and loading in/out supplies

- Perform administrative tasks, including ordering needed supplies and filing documents

- Maintain a positive attitude and a genuine interest in helping others

- Contribute to a positive work environment in a manner that is conducive to customer service, sales promotion, safety, and quality of work life

- Perform other duties as required
