Permit & Administrative Coordinator

Ninja Mountain Bike Performance is the largest mountain bike skills instruction company in the U.S., with over 2,000 clinics held nationwide each year. We’re a passionate, fast-paced team committed to helping riders of all levels improve their skills and confidence on the bike.
We’re looking for a Permit & Administrative Coordinator to join our Klamath Falls office. This part-time role is critical to keeping our national event schedule running smoothly by securing the necessary permits for clinics and camps across the country, while also supporting day-to-day administrative tasks and customer service inquiries.
Key Responsibilities
Research permit requirements for city, county, state, and federal lands
Prepare and submit permit applications in a timely and accurate manner
Maintain organized records of communications, applications, and approvals
Follow up with agencies and land managers as needed
Track deadlines and permit statuses using internal tools
Coordinate with the events and operations team to ensure permits align with planned clinics
Handle administrative tasks such as data entry, document filing, and supply coordination
Respond to customer service emails or inquiries, or redirect them to the appropriate team member
Assist with internal communication and scheduling logistics as needed
Ideal Candidate
Highly organized and detail-oriented
Strong written and verbal communication skills
Self-motivated and able to work independently with minimal oversight
Comfortable managing multiple tasks, deadlines, and priorities
Friendly and professional in interactions with customers and public agencies
Prior experience with permitting, customer service, admin work, or event coordination is a plus
Bonus points if you love the outdoors, recreation, or bikes!
Requirements
Must be available to work in-person at our Klamath Falls office
Approx. 30-40 hours per week
Proficiency with email, online forms, Google Docs, Sheets, and similar tools
Willing to learn and use systems like Airtable, Asana, or other internal tools
