Shop Manager

Position Summary

The experienced Diesel Truck Repair Shop Manager is responsible for overseeing the daily operations of the shop, managing personnel, maintaining inventory, and ensuring all repairs and maintenance are performed efficiently. This role ensures compliance with safety standards and collaborates with other departments to manage costs, track repairs, and handle warranty claims. The Shop Manager also directly handles repairs as needed, monitors employee performance, and works closely with vendors and service providers.

Essential Duties

Oversee shop personnel, including tire, mechanic, lube, inventory, and wrecker teams, ensuring efficient operations and adherence to safety protocols.

Ensure shop-wide compliance with FMCSA, DOT, and OSHA safety regulations.

Oversee and develop preventive maintenance schedules and inspections to ensure compliance with FMCSA regulations and maximize fleet reliability.

Plan and manage truck repairs and maintenance schedules, including assigning personnel, purchasing parts, and coordinating with vendors.

Manage the parts department, maintaining accurate inventory levels and pricing, and controlling parts costs.

Maintain accurate records of vehicle inspections, repairs, and work orders to meet DOT audit standards.

Coordinate with other departments to prioritize vehicle repairs based on operational needs and deadlines.

Ensure shop personnel comply with all safety standards, including OSHA regulations, to maintain a safe working environment.

Track warranty claims and recalls on equipment, applying policy assistance for repairs when trucks are out of base warranty.

Key Duties & Responsibilities

Supervise the timely completion of vehicle repairs, maintenance tasks, and service calls, ensuring high-quality workmanship.

Manage shop personnel scheduling and workload to optimize efficiency and meet operational demands.

Oversee the onboarding and continuous development of shop personnel, ensuring effective training programs are in place.

Ensure driver-reported defects (DVIR) are resolved promptly and all repairs are documented before vehicles return to service.

Troubleshoot after-treatment issues, perform software updates, and assist with engine and other complex repairs as needed.

Implement preventive maintenance schedules to maintain fleet compliance with FMCSA standards.

Maintain detailed service and repair records, ensuring compliance with company policies and industry regulations.

Monitor inventory levels and oil/lubrication pricing in collaboration with vendors such as Tyree Oil, ensuring accuracy and cost control.

Collaborate with vendors to negotiate cost-effective solutions for parts, tools, and service contracts.

Conduct performance evaluations, manage wage increases, and oversee employee overtime tracking, ensuring accurate timesheet corrections.

Track parts and maintenance costs to recommend optimal timing for truck rotation out of the fleet.

Work with external repair shops and dealerships to ensure proper completion of repairs and fair pricing.

Manage tire expenses and work closely with vendors to monitor and control monthly tire costs.

Manage the allocation and tracking of shop tools and equipment to ensure proper usage and availability.

Enter work orders and manage tow truck billings, verifying accuracy for external vendor charges.

Ensure completion of DOT and FMCSA inspections, addressing defects promptly.

Take after-hours and weekend calls for breakdowns, dispatching shop help or coordinating repairs as necessary.

Perform additional duties as assigned to support operational needs.

Your technical expertise will minimize downtime, reduce breakdowns, and extend vehicle lifecycles, contributing to improved fleet productivity and profitability. By maintaining strict adherence to DOT and FMCSA regulations, you will safeguard the company from costly fines, enhance safety, and promote operational compliance.

Minimum Qualifications

At least 4 years of relevant heavy equipment experience with trucks. The ideal candidate will have a blend of education, hands-on experience, and relevant technical certifications to effectively manage shop operations and ensure compliance with industry standards.

Experience in diagnosing and repairing diesel engines, hydraulic systems, suspensions, drive-train components, electrical systems, air conditioning, air brakes, and basic electrical wiring.

Demonstrated experience managing personnel and shop operations in a heavy-duty vehicle or truck repair environment.

Strong organizational skills to manage workflow, track repairs, and ensure accurate reporting of shop activities.

Proven ability to work collaboratively with other departments to meet fleet maintenance and operational needs.

In-depth knowledge of DOT regulations as they pertain to trucking, along with familiarity with federal and state safety regulations.

Proficient in the use of hand tools and diagnostic equipment.

Strong communication skills for effective coordination across departments.

Ability to pass a pre-employment drug test in compliance with DOT regulations / company policy.

Dependable attendance and demonstrated ability to grow in the position.

Valid driver’s license; Class A CDL (Commercial Driver’s License) is preferred.

FMCSA Drug and Alcohol Reasonable Suspicion Training.

First Aid certification.

Preferred Qualifications

Valid Class A CDL preferred to facilitate effective communication with drivers, ensure safety compliance, and enhance operational oversight of fleet vehicles.

Clean driving record as reflected in an MVR over the past three (3) years, with no serious traffic violations or major preventable accidents.

Experience with Transportation Management Systems (TMS), such as PCS Software or similar platforms.

Supervisory or management experience, particularly in training shop personnel.

Strong understanding of FMCSA compliance audits and DOT inspections to ensure all shop operations align with regulatory requirements, maintaining fleet compliance and upholding safety standards across repair processes.

Previous experience working with maintenance financial tracking and warranty claims.

Vocational or Technical certification in diesel engine repair or heavy equipment mechanics.

Proven experience with after-treatment systems, troubleshooting advanced vehicle systems, and utilizing diagnostic software such as Paccar DAVIE4, Cummins Insite, and Bendix Acom for software updates and effective diagnostics.

Prior experience managing a diverse team of mechanics, inventory specialists, and administrative personnel.

Education

High school diploma or equivalent required.

Technical certification or vocational training in diesel mechanics or a related field preferred.

Completion of FMCSA Drug and Alcohol Reasonable Suspicion Training and First Aid certification is advantageous.

Bachelor’s degree in Automotive Technology, Mechanical Engineering, or a related field is preferred.

Physical Requirements

Ability to perform administrative and supervisory tasks in a fast-paced environment, including standing for extended periods, walking throughout the shop, and occasionally lifting light to moderate equipment (up to 25 pounds) while ensuring a safe working environment for mechanics and staff. Must be capable of performing inspections and assessments of vehicles in various weather conditions and working environments.
