Job Summary:
As a Sales & Operations Administrator, you will play a vital role in supporting the day-to-day operations of Obsidian Integration LLC. This position focuses on administrative tasks, sales support, and operational coordination, ensuring smooth workflows and excellent customer service. You will be responsible for managing quotes, processing orders, assisting with procurement, and maintaining accurate records of sales and inventory. Additionally, you will provide essential back-office support to the production and technical teams, helping to streamline operations and improve efficiency.
While this is primarily an administrative role, a basic understanding of technical concepts is required to effectively generate quotes and assist customers. You will need to understand product specifications and configurations to ensure accurate and appropriate quotes are produced. This role involves handling inbound customer inquiries, assisting with order management, and ensuring that all sales and operational processes are documented and followed consistently.
This role is ideal for someone who is highly organized, detail-oriented, and has a basic technical aptitude to support quoting and customer interactions.

Key Responsibilities:
Sales Support & Order Management:
o Generate and manage quotes for customers based on product specifications and pricing guidelines.
o Process customer orders, including purchase order placement, credit card processing, and order receipt tasks.
o Assist with invoice generation and follow-up on payment processing.
Back-Office Administration:
o Manage and update BOMs (Bills of Materials) in coordination with production and procurement teams.
o Assist with procurement tasks, including vendor communication, order tracking, and inventory management.
o Maintain accurate records of sales, orders, and inventory levels.
Customer Interaction:
o Handle inbound customer inquiries via phone and email, providing basic product information and order status updates.
o Assist customers with questions and direct highly technical inquiries to the Design Engineer/Customer Support Rep.
Operational Support:
o Assist with inventory management to ensure smooth production workflows.
o Support production teams with administrative tasks related to order prioritization and tracking.
Process Documentation:
o Develop and maintain standard operating procedures (SOPs) for sales and operations tasks.
o Ensure all processes are documented and followed consistently.
Qualifications:
Required:
2+ years of experience in an administrative, sales support, or operations role.
Basic technical aptitude with the ability to understand product specifications and configurations.
Strong organizational skills and attention to detail.
Proficiency in MS Office programs (Word, Excel, Outlook) and the ability to learn new software systems quickly.
Excellent verbal and written communication skills.
Ability to multitask and work in a fast-paced environment.
Basic understanding of sales processes and customer service principles.
Self-starter with the ability to work independently and take initiative.
Preferred:
Experience with QuickBooks or similar accounting software.
Familiarity with inventory management and procurement processes.
Basic knowledge of video surveillance products or the law enforcement industry (not required but a plus).
Experience with BOM management or related tasks.
