The Contract Administrator is responsible for managing each stage of the customer contract lifecycle, maintaining data control, providing report metrics, and process improvement implementation.
Manages and oversees each crop’s contract renewal period by implementing timelines for Sales to follow, communicating contract balances, gathering projections, to meet Procurement deadlines to ensure there are no gaps in coverage, and provide reporting for overall financial success of each crop project
Processes customer contract requests from Sales by working with Procurement on product costing and lead times, Product Management on product availability, and Contract & Pricing Supervisor on quoting
Drafts, enters and maintains customer contracts in X3 contract module, acquires President approval, communicates demand forecast to Product Management and product quantity needs to Procurement
Conducts monthly Contract Status Reviews with Sales Representatives to advise when contracts are not adhering to customer planning schedules, prompt sales for demand plan updates, and renewals of expiring contracts
Manages Contract Change Form process by facilitating contract changes between Sales, Product Management, Procurement, and Contract & Pricing Supervisor
Manages Special Order process by facilitating with Sales, Procurement, Production, and Contract Pricing Supervisor
Manages Spot Buy Quote process through SharePoint and facilitates with Product Management, Procurement, & Contract & Pricing Supervisor
Manages customer contract data control, which includes customer product specifications, fully executed contracts, award letters, and customer purchase orders
Provides metrics and analysis on customer contract performance to Leadership
MINIMUM QUALIFICATIONS AND EXPERIENCE
2 years of customer service or administrative support or a total of 6 years of comparable experience in lieu of a degree
Bachelor’s degree in Business, Accounting, Marketing, or relevant training
High level of skill with typing, data entry and Microsoft Office programs: Outlook, Word, Excel, Power Point, and SharePoint
Analytical mindset and strong mathematical skills
Effective time management, organization and prioritization skills
Meticulous attention to detail
Excellent communication skills, written and verbal
Experience in natural and organic food industry preferred
Prior project management or knowledge of Purchasing and Product Management processes, preferred
Experience with an enterprise MRP and CRM systems preferred
Remote work available - with some onsite time in Eugene required.
